Position Summary:
The Multi-Media Account Specialist serves as a key point of contact for clients and supports marketing, communications, creative services, and business development initiatives. This position is responsible for building client relationships, coordinating projects and production activities, supporting marketing campaigns, and identifying opportunities for business growth. The Multi-Media Account Specialist works closely with clients, vendors, and internal teams to ensure projects are completed on time, within budget, and in alignment with organizational goals and brand standards, while providing exceptional customer service and administrative support.
Essential Job Functions:
- Serve as the primary point of contact for assigned clients and internal stakeholders.
- Build and maintain strong client relationships through regular communication, consultation, and exceptional customer service.
- Manage client accounts from onboarding through project completion and follow-up.
- Develop project proposals, scopes of work, service agreements, and cost estimates.
- Ensure client satisfaction while identifying opportunities for account growth and additional services.
- Maintain accurate client and project records, documentation, reporting metrics, and activity within customer relationship management (CRM) systems.
- Coordinate communications between clients, designers, videographers, photographers, web developers, production teams, and vendors.
- Schedule and oversee video shoots, photography sessions, livestreams, interviews, events, and other production activities.
- Develop and maintain project schedules, timelines, workflows, and calendars.
- Monitor project progress to ensure deadlines, deliverables, and quality standards are met.
- Coordinate logistics, including locations, equipment, talent, and vendor services.
- Assist with event planning, media coverage, and promotional activities.
- Create, edit, and distribute marketing and communication materials, including advertisements, social media content, publications, presentations, website content, newsletters, press releases, and promotional campaigns.
- Assist in the development and implementation of marketing and communication strategies.
- Coordinate media relations, community outreach efforts, and audience engagement initiatives.
- Support brand development and ensure all communications and creative materials align with established branding standards.
- Monitor campaign, project, and client performance and prepare reports on marketing effectiveness, audience engagement, revenue, and client activity.
- Collaborate with creative teams to develop design concepts and execute marketing campaigns, ensuring high-quality creative deliverables that support organizational goals and client objectives.
- Respond to incoming leads and client inquiries in a timely and professional manner.
- Assist in identifying prospective clients, business opportunities, and strategic partnerships.
- Conduct outreach efforts to potential clients and partners.
- Support proposal development, presentations, and sales meetings.
- Identify opportunities for upselling and cross-selling services within existing client accounts.
- Prepare invoices and assist with billing processes.
- Track project budgets, expenses, revenue, and account receivables.
- Assist with collections and payment follow-up as needed.
- Perform other duties as assigned.

- Attend meetings, seminars, workshops, and training sessions as required to support professional development and program objectives.
Job Specifications
Knowledge, Skills, and Abilities:
- Strong understanding of the Quapaw Nation, its culture, and tribal governance.
- Proficiency in Microsoft Office applications, customer relationship management (CRM) systems, online banking platforms, accounting software, and other business applications.
- Proficiency in Adobe Creative Cloud applications, including Illustrator, InDesign, Photoshop, Premiere Pro, and Acrobat; experience with After Effects preferred.
- Excellent analytical, mathematical, and problem-solving skills, with the ability to compute, interpret, and apply financial and operational data.
- Strong understanding of marketing principles, branding strategies, digital communications, and audience engagement.
- Working knowledge of sales processes and business development practices.
- Excellent written, verbal, and interpersonal communication skills, with a proven ability to build and maintain positive relationships with clients, vendors, and team members.
- Strong project management, organizational, and time-management skills, with the ability to manage multiple projects simultaneously while meeting deadlines and maintaining accuracy and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
- Ability to maintain professionalism and confidentiality, and sound judgment.
- Must successfully pass a tribal background investigation and drug screening.
- Must maintain a valid driver’s license in good standing and qualify under the Quapaw Nation Motor Vehicle Policy.
Experience:
- Minimum of two years of experience in communications, marketing, media production, account management, or a related field is required.
- Experience coordinating photography, video production, livestreams, special events, or related media productions is preferred.
Education:
- Bachelor's degree in communications, marketing, public relations, graphic design, media production, business, or a related field is preferred.
Physical Abilities:
- Ability to sit or stand for extended periods and perform tasks that require reaching above shoulder level.
- Ability to push, pull, squat, kneel, bend, and safely lift and carry up to 50 pounds.
- Visual acuity sufficient to perform essential job functions, with or without reasonable accommodation.
- Ability to travel occasionally for meetings, training, seminars, and professional development activities.
Working Conditions:
- Work is performed in a combination of office, studio, and field production environments.
- Occasional evening and weekend work may be required to support events, productions, client engagements, and other business activities.
- Travel may be required based on project assignments and organizational needs.
- Must maintain professionalism, confidentiality, and cultural sensitivity while working in a diverse environment.
- Occasional indoor and outdoor activities may be required to support program operations.
