The Mortgage Disclosure and Closing Specialist manages the disclosure and closing workflow for residential mortgage loans and carries out assigned post-closing activities. The role requires close coordination with mortgage advisors, operations, underwriting, title companies, funders, investors, and document custodians. The specialist monitors deadlines, confirms the accuracy and completeness of documents, and escalates issues that could delay closing or investor delivery.

 

Essential Job Duties & Responsibilities:

 

Disclosures and closing preparation

  • Prepare, review, and deliver initial disclosures, revised disclosures, and initial and final Closing Disclosures within applicable timeframes and bank procedures.
  • Document changes of circumstance; review fee changes and tolerance calculations; maintain supporting records and escalate potential cures or timing concerns.
  • Obtain and review title and settlement information needed for disclosures and closing; coordinate fee updates and balance the final Closing Disclosure with the settlement agent.
  • Coordinate closing document preparation, review documents for accuracy and completeness, and resolve document issues with the appropriate parties.
  • Monitor clear-to-close items and closing-related conditions, including conditions required before document delivery or funding.
  • Track the loan through documents sent and hand off a complete, accurate file to the funding team. Communicate status and unresolved items promptly.

Post-closing and investor delivery

  • Assemble, review, and ship closed loan packages to the applicable investor or document custodian by required deadlines; document shipment and delivery.
  • Track investor delivery and purchase conditions and coordinate correction of missing or defective documents with the responsible parties.
  • Register applicable loans in MERS within required timeframes, verify loan and party information, and resolve registration exceptions.
  • Maintain a trailing-document log, monitor outstanding recorded documents and final title policies, follow up with title companies, and document receipt and delivery to the investor or custodian.
  • Escalate overdue or unresolved trailing documents and other post-closing exceptions under department procedures.

Controls and collaboration

  • Maintain complete and accurate loan records in the loan origination system and other approved tracking tools.
  • Follow bank policies, applicable laws and regulations, and investor and agency requirements; elevate questions or exceptions to management or Compliance.
  • Work with internal and external partners to meet deadlines and improve workflow accuracy.

Qualifications:

Required

  • At least five years of residential mortgage operations experience, with hands-on disclosure and closing responsibilities.
  • Working knowledge of TRID disclosure requirements, Closing Disclosures, fee tolerances, and closing documentation.
  • Ability to manage competing deadlines, reconcile detailed information, and communicate clearly with borrowers and business partners.
  • Proficiency with mortgage loan origination systems and standard office software; ability to work independently in a remote setting.

 

Preferred

  • Experience shipping loans to investors, registering loans in MERS, and tracking trailing documents.
  • Experience with Calyx PATH and document preparation or settlement coordination platforms.
  • Experience with purchase and refinance transactions, along with the following programs:
    • Conventional (Fannie Mae & Freddie Mac)
    • FHA
    • VA
    • USDA
    • Jumbo
    • Non-Agency
    • Affordable lending and down-payment assistance programs

  • Active Learning: Stay current with industry standards and evolving lending practices to support informed decision-making.

Timely and accurate disclosures; closings completed with well documented handoffs; on-time investor delivery and MERS registration; timely resolution of purchase conditions; and complete, actively managed trailing document records.
