The Machine Learning Department (MLD) is a leading hub for research and education in artificial intelligence and machine learning. It focuses on developing innovative algorithms and models to address complex problems in diverse fields such as robotics, healthcare, and finance. The department offers a range of undergraduate and graduate programs, fostering a collaborative environment that bridges theoretical research and practical applications. Faculty and students frequently collaborate with industry and other academic disciplines to push the boundaries of what is possible with machine learning.

We are seeking a Doctoral Program Manager to join the team! This position holds a key role in MLD, overseeing the comprehensive program management and academic advising/counseling for the PhD program. Core Responsibilities
  • Overseeing programs, policies, and processes to enhance student success and meet their specific needs.
  • Direct management of all operational aspects of the MLD PhD program are integral, including student-advisor matching, student assessment, and course requirements
  • Support and mentor PhD students and organize PhD committees, program events, and meetings.
  • Problem-solving issues and partnering with the PhD Program Faculty Director to develop the program, ensuring program compliance and integration with university and School of Computer Science (SCS) policies and processes, so that it continues to be a world-class doctoral program in Machine Learning.
  • Serve as the first point of contact, resolving students’ needs as possible and directing them to other resources as appropriate.
  • Coordinate the academic semester student review meetings and monitor student academic progress.
  • Certify PhD degrees, MS degrees, and manage graduation functions. Serve as lead representative and organizer for doctoral commencement.
  • Organize student recruiting activities, collect admissions materials, assist with the admissions process. Communicate final decisions to program applicants.
  • Manage the onboarding process for new PhD students, providing clear and timely communication to facilitate a smooth transition into the program.
  • Coordinate annual events: Open House for accepted PhD students, Orientation, Student Retreat, Town Halls, Appreciation Week, Commencement.
  • Other tasks as assigned.

Qualifications:
  • Bachelor's Degree
  • 5 years of experience in academic advising at the graduate level
  • 5 years Academic Program Management Experience
  • Well-developed Organization and Planning Skills, and Problem-Solving and Reasoning Skills
  • Strong Oral and Written Communication Skills, and Relationship Building Skills
  • Strong interpersonal and customer service skills
  • Strong ability to multi-task and attention to detail
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
