The Middle School Administrative Assistant reports directly to the Head of Middle School.  The primary responsibility of the MS Administrative Assistant is to provide administrative and clerical support to the Head of Middle School and to support and assist in all functions pertaining to the Middle School office.   The ideal candidate will have strong communication skills both over the phone and in person; will have facility with the use of technology, especially Google Suite tools;  will enjoy working with young adolescent girls and will be able to demonstrate patience, warmth, and firmness when necessary.  Essential to the role are an ability to multitask, attention to detail, and an ability to maintain confidentiality at all times.


Support for Middle School Head

  • Acts as a liaison between the Head of Middle School and students, faculty and parents.
  • Handles routine problems in the absence of the Head of MS.
  • Schedules appointments and maintains a calendar for the Head of MS.
  • Collects the information for the bi-weekly divisional newsletter and places into the Blackbaud
  • Consolidates calendar information for the weekly faculty communication 
  • Maintains the Middle School calendars within the School and division
  • Sends routine emails to faculty, parents and students.
  • Proofreads student reports.
  • Maintains substitute list and arranges class coverage for teachers 
  • Helps manage RPCS’s SIS system within the division 
  • Anticipates events on calendar
  • Assists with the Summer Buddy Program.

Office Management

  • Greets and directs visitors.
  • Answers phone and directs calls to appropriate personnel and takes and delivers messages as required.
  • Maintains student records, including attendance, updating transcripts and filing.
  • Orders paper and routine supplies for the faculty workroom.
  • Maintains sufficient supplies for the MS faculty.
  • Duplicates materials needed for faculty such as student reports, meeting agendas. Etc.

Support for Middle School Program

  • Makes travel arrangements for MS field trips.
  • Assists with planning and setting up for special meetings and events 
  • Handles logistics of award ceremony and closing ceremony including programs, maintenance requests, flowers, and gifts.
  • Assists in administering MAP testing.

Support for Students and Parents

  • Serves as a drop off point for all forgotten student lunches, projects, or athletic equipment.
  • Prepares and sells tickets for mixers.  Deposits and/or processes checks for proceeds.
  • Orders locks and dispenses, collects and maintains records for them.

WORK CONDITIONS:

  • The Middle School Administrative Assistant is a full time, 12 month position. The schedule is Monday - Friday 8am-4:30pm with an unpaid 30 minute lunch break. There may be occasional evening or weekend hours required.  
  • The individual in this position is expected to work during all hours as may be assigned by the School and during other hours for events and activities. 
  • The individual is expected to perform their job duties on campus unless otherwise permitted by the Head of School.

Compensation Disclosure: In accordance with Maryland's Equal Pay for Equal Work Act, we are committed to providing transparent wage information for all posted job opportunities. The salary range for this position is $45,000 - $55,000 annually and will be an exempt level position based on 40 hours per week. Compensation is determined based on factors such as Experience, Qualifications, and Internal equity.

Qualifications

Educational Requirements: 

  • High School diploma; college degree preferred (or equivalent work experience).

Experience and Qualifications

  • Prior administrative office management experience preferred.
  • Experienced in office assistance and event coordination.

Skills and Abilities: 

  • Dependable professional with excellent organization skills, ability to manage confidential information, enthusiasm, and a positive attitude.
  • Strong computer skills, with proficiency in Google, Microsoft Word and Excel.
  • Strong oral and written communication skills.
