Primary Function

Ensures that membership opportunities with Boys & Girls Clubs of Topeka are known throughout the community, school sector and industry, especially targeting those youths who need us most. Manages and maintains an accurate accounting of membership, status, program involvement, and profile status including necessary reporting utilizing the membership information system.

Key Roles (Essential Job Responsibilities) 

Customer Service

  • Single point of access for interested parties regarding membership to BGCT.
  • Ensures membership practices are consistent, educational. and effective in creating a strong and trusting bridge between members, their families, and the Club.
  • Engage and respond to the needs of parents and BGCT personnel in a timely and supportive manner.
  • Beyond listening, doing everything in one’s power to serve each customer efficiently and accurately.
  • Supports membership needs and requests of BGCT personnel.
  • Cultivate relationships with parents, community leaders and organizations.

Administration of Membership Management System

  • Manages and ensures data contained in member database system is accurate and up to date.
  • Collects and maintains accurate data for enrolled members.
  • Maintains accurate accounting and application of membership charges and payments in membership tracking system.
  • Performs evaluation of data integrity in membership tracking system and executes appropriate policies and procedures to maintain clean data.

Strategic Planning

  • Works with members of senior management team to identify barriers (financial support, special needs, etc.) preventing youth from obtaining BGCT services.
  • Serves as liaison between parents and leadership team to facilitate conversation, highlight recurring issues and develop processes and procedures that address needs of parents/guardians and BGCT. 
  • Collaborates with VP of Operations and VP of Finance and Administration to develop and evaluate policies and procedures relating to enrollment, payments, and reporting.
  • Sets and achieves goals that both grow the organization and increase efficiency of work.  
  • Works in partnership with VP of Operations to develop, implement and evaluate a communication system between BGCT and parents/guardians for members with high balances or inconsistent payments.
  • Collaborates with leadership during open enrollment for school year and summer programs to develop application packet, parent handbook and online enrollment system.

Additional Responsibilities

  • Provides oversight and supervision to Membership Services Coordinator
  • Routinely and regularly represents the high standards and ethics upheld by BGCT
    and conducts self in the utmost professional manner.

  • Upholds a positive image of the BGCT internally and externally.
  • Utilize effective communication skills and professional standards of conflict resolution should a conflict arise.
  • Other duties as assigned by the CEO.

Qualifications

Knowledge / Skills Required

  • High school diploma
  • Highly organized and strong attention to detail
  • Able to maintain strict confidentiality.
  • Strong communication skills, both oral and written
  • Able to multi-task and adjust in a fast-paced setting.
  • Ability to deal effectively with conflict and identify resolutions.
  • Demonstrated ability in working with young people, parents, and community leaders.
  • Excellent teamwork skills
  • Microsoft Office experience

Physical and Mental Requirements

  • Ability to sit for extended periods of time
  • Position operates in an office environment
  • Occasional lifting of office supplies and materials (up to 20lbs)
