As a Meeting Coordinator, you’ll be at the heart of our London headquarters, managing The Hub - our state-of-the-art company briefing centre. The Hub is where we showcase Mimecast’s cutting-edge cybersecurity solutions and host high-value business meetings with customers, partners, and stakeholders. This role is all about delivering premium, seamless meeting experiences from start to finish. From coordinating logistics to ensuring every detail reflects Mimecast’s commitment to excellence, you’ll play a pivotal role in shaping how our guests experience The Hub.

What You’ll Do

  • Own the Meeting Experience: Serve as the primary facilitator for all meeting requests at The Hub, ensuring every interaction is professional and polished.
  • Coordinate End-to-End Logistics:
    • Review and qualify meeting requests based on established criteria.
    • Schedule and lead pre-meeting planning calls to confirm logistics, catering, AV requirements, and agendas.
    • Manage The Hub calendar and workflows using tools like Outlook, Smartsheet, and Slack.
  • Deliver Premium Guest Experiences:
    • Greet guests at The Hub entrance, manage visitor check-in, and ensure security protocols are followed.
    • Prepare personalized welcome screens, name badges, tent cards, and branded materials for each meeting.
    • Set up meeting spaces with appropriate materials, technology, refreshments, and signage.
  • Ensure Seamless Technology: Test AV equipment, screens, connectivity, and audio systems prior to each meeting to ensure flawless execution.
  • Track and Improve: Maintain accurate records of meetings, gather post-meeting feedback, and identify opportunities for continuous improvement.
  • Support Marketing Operations: Update marketing platforms like Salesforce and Yodeck, process purchase orders, and track Hub-related expenses.

What You’ll Bring

  • Exceptional Organizational Skills: You’re detail-oriented, proactive, and thrive in a fast-paced environment.
  • Customer-Focused Mindset: You’re passionate about delivering premium experiences and can confidently interact with senior executives.
  • Tech-Savvy Approach: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with CRM platforms like Salesforce and Marketo.
  • Professionalism and Flexibility: A polished demeanor, excellent communication skills, and the ability to adapt to occasional early mornings or late evenings for special events.
  • Problem-Solving Skills: You’re a proactive thinker who can troubleshoot AV systems and connectivity issues with ease.
  • Experience in Events or Hospitality: Internship or part-time experience in events, hospitality, customer service, or marketing is strongly preferred.

The base salary range for this position is £44,000-£66,000 plus benefits. This range represents the minimum and maximum new hire compensation for this role. The position may also be eligible for incentive plans and additional benefits, in accordance with company policy and local regulations. Our salary ranges are determined by role, level, and location with individual compensation also dependent on factors such as qualifications, experience, and skills. Final offers will reflect these considerations and may vary accordingly.
