Job Summary
As an Junior Level Event Coordinator consultant, you will provide essential administrative and operational support to the International Events Team. This role is designed for a motivated individual looking to launch a career in corporate events. You will assist in the execution of CME Group events in the EMEA region, helping with event logistics, registration management, inventory tracking, and post-event reporting. You will work closely with senior team members to ensure all events run smoothly and maintain the company’s brand standards.
Principal Accountabilities
Event Support: Assist the international team in the planning and execution of in-person and virtual events, ensuring administrative tasks are completed on time to meet business objectives.
Registration Management: Support the setup of registration sites, assist in managing invite lists, and help pull attendance data for internal reports.
Inventory & Brand Oversight: Assist in organizing event inventory (e.g., signage, promotional items) and ensure that all physical assets are packed, shipped, and displayed in accordance with global brand guidelines.
Administrative Coordination: Provide general administrative support to the Corporate Marketing & Event Management team, including calendar management and meeting preparation.
Speaker & Stakeholder Support: Assist with the onboarding process for speakers for internal events, ensuring they have the necessary information regarding timelines and technical requirements.
Data & Reporting: Gather feedback and survey results post-event to help the team analyze event success and identify areas for improvement.
Onsite Assistance: Represent the team at events as required, assisting with registration desks, room setups, and attendee inquiries.
Research: Conduct research on potential venues, event vendors, and current industry trends to support upcoming project planning.
Qualifications & Skills
Experience: 0–1 year of experience in event management, marketing, or a related administrative field
Software Proficiency: * Strong computer literacy, particularly in Google Workspace (Docs, Sheets, Slides).
Willingness and aptitude to learn and become a super user of event-specific software (e.g., Cvent, Salesforce, Marketing Cloud).
Communication: Excellent written and verbal communication skills; comfortable interacting with internal stakeholders and external vendors.
Organizational Skills: Exceptional attention to detail with the ability to manage multiple small tasks simultaneously in a fast-paced environment.
Teamwork: A proactive "can-do" attitude and a desire to work collaboratively within a dynamic team.
Agility: Ability to work on your own initiative to solve simple problems and escalate complex issues to senior team members when necessary.
Flexibility: Willingness to travel for site inspections or onsite event support, which may occasionally include evenings or weekends.
