Position Overview
The Marketing Operations Coordinator supports the day-to-day operational needs of the Marketing department and helps create efficient, consistent and scalable processes across the organization.
This role serves as a central resource for Marketing administration and operations, including budget tracking, purchase orders, invoice processing, vendor management (including licenses and contracting), consultant contract coordination, promotional inventory, shipping and departmental organization. The Marketing Operations Coordinator will work closely with Marketing team members and cross-functional partners to ensure projects and operational requests are completed accurately, efficiently and on time.
The ideal candidate is highly organized, detail oriented, proactive and comfortable managing multiple priorities in a fast paced, growing organization.

Responsibilities
- Coordinate day-to-day Marketing activities and serve as an operational resource for the Marketing department.
- Coordinate purchase orders, invoice processing through D365 and departmental budget through VENA.
- Maintain accurate budget documentation and support routine financial reconciliation and reporting for the Marketing team in collaboration with S. and international Finance business partners.
- Coordinate vendor onboarding and maintain vendor information.
- Lead the cleanup and ongoing administration of TalentLMS distributor records, including auditing and updating distributor names and specialties, adding new distributor users, and assigning and maintaining required training.
- Support consulting contract administration and routing through LinkSquares
- Maintain the Marketing calendar and support coordination of departmental deadlines, initiatives and deliverables.
- Manage promotional inventory, branded merchandise, printed materials and other Marketing assets.
- Coordinate shipping and fulfillment of Marketing materials and departmental supplies.
- Support Marketing P Card reconciliation and expense administration through Concur
- Maintain departmental documentation, shared resources, standard operating procedures and process materials.
- Support the implementation, contracts, and administration of Marketing technologies, platforms and operational tools. (HighSpot, HubSpot, Monday.com, Survey Monkey, TalentLMS, Synthesia, Canva)
- Coordinate departmental meetings, agendas, materials and follow up activities as needed.
- Partner with Marketing team members to identify opportunities to streamline workflows and improve departmental efficiency.
- Support special projects and evolving Marketing and events initiatives as the department continues to grow.
