Job Summary:The Marketing Operations Manager serves as the operational backbone of the marketing organization, ensuring that the department's people, processes, systems, and resources function efficiently and effectively in support of enterprise priorities. Reporting directly to the Chief Marketing Officer, this role is responsible for coordinating the day-to-day business operations of the marketing department, enabling teams to focus on delivering high-quality marketing, communications, and patient engagement initiatives across the health system.
This position oversees key operational functions, including budget administration, vendor onboarding and management, contract coordination, invoice and payment processing, workflow and process optimization, creative throughput management, and departmental prioritization. The Marketing Operations Manager works closely with marketing leaders and cross-functional partners to establish operational discipline, improve transparency, and ensure that projects and resources are aligned with organizational goals.
Core Responsibilities and Essential Functions:
Department Operations & Process Management
Develop, maintain, and continuously improve operational processes, workflows, documentation, and governance practices that support the marketing department. Identify opportunities to increase efficiency, standardization, and accountability.
Budget Administration & Financial Coordination
Manage departmental budgets, purchase orders, invoices, and payment processes. Track spending, maintain budget records, coordinate with finance teams, and provide regular reporting to marketing leadership.
Vendor & Contract Management
Coordinate vendor onboarding, contract administration, renewals, and compliance activities. Serve as the primary liaison between marketing, procurement, legal, and external partners.
Project Prioritization & Throughput Management
Support intake, prioritization, and capacity planning across marketing teams. Monitor creative and project throughput to ensure work aligns with organizational priorities and deadlines.
Communication, Reporting & Department Coordination
Maintain visibility into departmental priorities, timelines, and key initiatives. Prepare reports, dashboards, presentations, and communications that keep stakeholders informed and aligned.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- Associates Business Administration/Management or Bachelors Business Communications or Bachelors Marketing or Bachelors Operations Management or Bachelors Health Administration or Bachelors Other / Related Field
- 3 years additional - Additional years of relevant work experience and/or other specialized training can be used in lieu of minimum education requirement.
Required Minimum License(s) and Certification(s):
