Summary: The Marketing Operations Coordinator supports the execution and coordination of category management, centralized pricing, marketing operations, promotional initiatives, vendor relations, and communication efforts for Colville Fuels LLC. This role plays a critical operational support function in maintaining centralized pricing processes, category management initiatives, vendor coordination, promotional execution, and consistent brand presentation across multiple retail and hospitality locations.

The position works collaboratively with store operations, vendors, distributors, and department leadership to support sales growth, product performance, promotional effectiveness, customer engagement, and operational consistency. Responsibilities include assisting with category management initiatives, centralized price book coordination, promotional planning, digital marketing support, vendor communications, and marketing material coordination.

This role is operational and execution-focused, supporting strategic initiatives developed by the Senior Marketing Manager while helping maintain efficient day-to-day marketing and operational functions. Work is primarily office-based with some hybrid flexibility and occasional travel to store locations, community events, or media engagements.

Essential Functions:

Category Management & Centralized Pricing
•    Assist with centralized pricing coordination, price book maintenance, promotional pricing implementation, and pricing communications across multiple locations.
•    Support category management initiatives through product tracking, sales reporting, promotional coordination, and merchandising support.
•    Coordinate with store operations, vendors, and distributors regarding product promotions, displays, category initiatives, and pricing updates.
•    Assist in maintaining pricing consistency, promotional execution, and operational communication between departments and store locations.
•    Participate in category management training initiatives, vendor meetings, and operational implementation efforts.
•    Support analysis of sales trends, product movement, promotional performance, and category opportunities.
Vendor Relations & Operational Coordination
•    Coordinate communication with vendors, distributors, media partners, printers, and marketing service providers.
•    Assist with vendor relations, promotional planning, sponsorship coordination, and operational follow-up.
•    Track vendor deliverables, timelines, quotes, and promotional support materials.
•    Support store management teams with operational marketing and promotional support requests.
•    Assist with coordination of community partnerships, sponsorships, and event logistics.
Marketing Operations & Campaign Support
•    Coordinate and execute marketing campaigns, promotions, and seasonal initiatives across multiple retail and hospitality locations.
•    Assist with implementation of annual and quarterly marketing plans developed by the Senior Marketing Manager.
•    Coordinate project timelines, deliverables, approvals, and communication for marketing initiatives.
•    Support store-level promotional activities, grand openings, community events, and customer engagement programs.
•    Maintain marketing calendars and track campaign schedules and deadlines.
Digital Marketing & Social Media Support
•    Assist with management of company social media platforms by scheduling approved content, monitoring engagement, and supporting digital campaigns.
•    Coordinate website updates, loyalty promotions, email marketing campaigns, and digital advertising support.
•    Monitor customer reviews, feedback, and online engagement, escalating concerns as appropriate.
•    Assist in maintaining consistent brand standards across digital platforms.
Graphic & Marketing Material Coordination
•    Develop and coordinate routine marketing materials including flyers, signage, posters, promotional graphics, presentations, and digital content.
•    Coordinate printing, distribution, and installation logistics for marketing materials.
•    Maintain organized digital asset libraries, templates, and approved branding materials.
•    Support in-store signage updates and promotional material placement.
Reporting & Administrative Support
•    Track marketing campaign metrics, promotional participation, and operational reporting data.
•    Assist with maintaining organized marketing files, project documentation, and communication records.
•    Prepare reports, summaries, and operational updates for department leadership.
•    Support department workflow organization and project prioritization processes.
 

Qualifications

Knowledge, Skills & Abilities:
•    Strong organizational and project coordination skills.
•    Ability to manage multiple projects and deadlines in a fast-paced environment.
•    Working knowledge of social media platforms and digital marketing tools.
•    Experience with graphic design software and marketing content development.
•    Understanding of retail pricing structures, category performance, promotional execution, and vendor-supported merchandising initiatives.
•    Strong written and verbal communication skills.
•    Ability to work collaboratively across departments and with external vendors.
•    Attention to detail and ability to maintain brand consistency.
•    Strong problem-solving and time management skills.
•    Cultural awareness and ability to support community-focused initiatives aligned with tribal values.
•    Proficiency with Microsoft Office Suite, Canva, Adobe Creative Suite, or similar marketing tools.

Minimum Qualifications:
•    Bachelor’s degree in Marketing, Communications, Business Administration, Retail Management, or related field AND two (2) years of experience in marketing, category management, pricing coordination, retail operations, or related field; OR
•    Associate’s degree in Marketing, Communications, Business Administration, Retail Management, or related field AND four (4) years of related experience; OR
•    Six (6) years of progressively responsible experience in marketing, category management, pricing coordination, retail operations, or related field.
•    Experience with social media management, marketing coordination, category management, promotional support, or retail operations.
•    Valid driver’s license and ability to travel between locations as needed.

Preferred Qualifications:
•    Experience working within retail, convenience store, fuel, hospitality, or tribal organizations.
•    Familiarity with category management concepts and retail promotional planning.
•    Experience coordinating multi-location marketing initiatives.
•    Basic experience with digital advertising and analytics platforms.
•    Familiarity with tribal governance, community engagement, and culturally responsive communication practices.

Physical Demands / Work Environment:
•    Primarily office or remote-based work environment with regular computer and phone usage.
•    Occasional travel to store locations, community events, vendor meetings, or promotional activities.
•    Ability to occasionally lift and transport marketing materials or event supplies up to forty pounds.
•    Ability to work occasional evenings or weekends for events, promotions, or operational needs.

Skills Required

  • Bachelor's degree in Marketing, Communications, Business Administration, Retail Management, or related field AND two years of relevant experience (or equivalent degree/experience alternatives)
