How You Will Contribute:
This role serves as key contributor to Ciena’s Marketing Strategy and Operations team. The primary function is to support in planning and reporting of the marketing budget, facilitate the execution of SOWs and other contracts, and assist with new vendor onboardings.
To be successful in this position, you’ll be an organized self-starter and supportive team player, capable of defining and managing many projects simultaneously. You’ll need strong analytical skills to be able to translate financial information into meaningful business analysis. You thrive in building relationships to collaboratively problem-solve to support the marketing organization. This is a remote role in Ottawa, but we will consider a great candidate in Canada.
Budget Management:
- Plan and administration of Marketing budgets including trending, profiling, reconciliation, reporting.
- Audit and import monthly actuals into Allocadia and provide monthly snapshot of budget performance.
- Perform moderate to complex financial analysis.
- Provide direction and guidance to teams/individuals on year-to-date budget performance, variance analysis, and action plans to improve financial performance.
- Facilitate accounting-related requests including PO creation, supplier set-up, invoicing, accruals and payment tracking, as well as support contract workflows/approvals.
- Liaise with corporate accounting team to determine appropriate accounting treatment for expenses/capital spend.
- Liaise with corporate finance team to develop annual plans and quarterly reforecasts.
Indirect Procurement:
- Execute SOWs and other contracts serving as a liaison between business, centralized procurement team, legal team, and vendors.
- Assist marketers with onboarding new vendors.
- Contribute to vendor management, compliance, and risk management activities.
- Collaborate with centralized procurement and legal teams on appropriate commercial and material term negotiations.
- Collaborate with Legal/Procurement/IT/Finance organizations related to Marketing initiatives and reciprocal projects as well as general adherence to corporate policies.
Organization and Documentation:
- Support in the definition, documentation, and implementation of systems, policy, and processes
- Create and manage operations documentation and content for various audiences.
- Keep operations informed by preparing status reports, presentations; provide recommendations of creating efficiencies.
- Develop and maintain internal SharePoint pages and calendar.
- Manage input to the monthly GM&C newsletter.
- Organize and support team correspondence, file share, calendars, and project management-related resources and tasks.
- Provide ad-hoc operations support, as needed, to improve functionality of the team.
The Must Haves:
- Bachelor’s degree in Business Administration, Finance, or Marketing
- Familiarity accounting, planning and procurement software (Oracle, Allocadia, Coupa, DocuSign)
- Strong Excel proficiency and modeling skills
- Detail oriented and operate with a commitment to delivering quality results
- Possess excellent communication and interpersonal skills
- Operate with high integrity
- Personal commitment to customer service and building relationships
- Be a team player with a collaborative approach to problem solving
- Thrives in busy work environment, takes initiative, and can multitask
Assets:
- 3+ years of experience in marketing operations, finance, procurement or a related field
- Demonstrated ability to learn and assimilate new software quickly
- Demonstrated ability to professionally deal with confidential matters is a must
- Excellent project management skills and experience leading multi-functional projects
Pay Range:
- The annual pay range for this position in Canada is $61,600 - $98,400 CAD.
Pay ranges at Ciena are designed to accommodate variations in knowledge, skills, experience, market conditions, and locations, reflecting our diverse products, industries, and lines of business. Please note that the pay range information provided in this posting pertains specifically to the primary location, which is the top location listed in case multiple locations are available.
Non-Sales employees may be eligible for a discretionary incentive bonus, while Sales employees may be eligible for a sales commission.
