About the Role

Quvia is hiring a Marketing & Events Coordinator to support execution across marketing, communications, and events. This role works closely across functions to coordinate programs, manage logistics, and keep initiatives on track across multiple workstreams.

The coordinator will play a central role in the day-to-day execution that keeps marketing programs moving. This includes supporting marketing and communications initiatives, and managing the details behind events, speaking engagements, and industry programs. The role offers meaningful responsibility early and the opportunity to take on broader ownership as the company grows. Our events calendar runs primarily from September through June, with quieter summer months focused on supporting broader marketing and communications initiatives. 

What You’ll Do

  • Marketing & Communications
    • Support marketing and communications initiatives across multiple programs and channels
    • Create, update, and manage marketing collateral including presentations, handouts, case studies, and internal materials
    • Ensure marketing materials are accurate, current, and aligned with brand guidelines
    • Support internal communications and prep for company all-hands meetings, including managing timelines, internal coordination, and materials
    • Maintain marketing systems including CRM, digital asset libraries, and shared documentation
    • Support performance tracking and reporting across campaigns and initiatives
    • Improve repeatable processes and templates that keep marketing programs running smoothly
  • Event Coordination
    • Plan and execute logistics for industry events and tradeshows, company events, and webinars
    • Support annual events budget planning, working with business units to prioritize spend and allocate budget across the events calendar
    • Maintain trackers for events, sponsorships, registrations, and key deadlines
    • Coordinate with vendors, partners, and internal teams on event requirements and timelines
    • Manage venue research, travel coordination, shipping, and on-site logistics
    • Support development of event-related promotional materials and campaigns
    • Manage event inventory including booth assets, signage, and promotional materials
    • Track registrations, attendance, and engagement and share post-event reporting and learnings
    • Partner with sales to capture post-event feedback and outcomes and connect event activity to pipeline
  • Speaking Engagements & Awards
    • Track speaking opportunities and award submission deadlines
    • Prepare and submit speaker proposals and award applications
    • Coordinate with internal teams to collect required materials and approvals
    • Track outcomes and maintain records to support future planning

Qualifications

  • 2–5 years of experience in marketing, communications, events, or program coordination (B2B technology, startup, or scaling-company environment strongly preferred)
  • Comfortable working on marketing for technical products and learning unfamiliar concepts through collaboration with internal teams
  • Experience supporting event logistics for tradeshows, webinars, or customer-facing programs (vendors, timelines, shipping, travel or on-site support)
  • Experience managing trackers, timelines or project coordination tools to keep programs, events or campaigns organized and on schedule
  • Strong organizational skills and attention to detail with the ability to manage multiple workstreams at once
  • Clear communicator who can coordinate across teams, follow up on open items and stay on top of deadlines
  • Confident, assertive self-starter who can push back constructively, prioritize competing demands, and navigate ambiguity in a fast-moving environment
  • Ability to create and update presentation materials (slides), along with one-pagers, handouts and internal documentation with clear formatting
  • Willingness to learn and work within marketing tools and systems (CRM, shared drives, asset libraries, event platforms)
  • Organized and dependable with a strong follow-through mindset
  • Willing to travel occasionally for events and on-site support as needed (10-20% of the time)
