What you’ll be doing 

As a Marketing Design Specialist, you will be creating and maintaining visual, print, and digital materials that support Option For All’s (OFA) programs, leadership, referral generation, and internal communications. The position owns marketing collateral, executive presentations, OFA’s annual report, brand assets, and content management for OFA’s external website and company intranet, while collaborating with internal teams and OFA’s third-party marketing vendor. 

In this role, you will: 

Graphic Design & Marketing Collateral 

  • Design flyers, brochures, one-sheets, informational packets, posters, banners, presentations, and other materials that promote OFA programs and support client referral and enrollment efforts. 

  • Partner with program leaders to create materials for specific services, geographic markets, referral sources, community outreach, recruiting, conferences, program launches, advocacy, employee initiatives, and organizational events. 

  • Create and maintain standardized templates and update materials as programs, services, locations, organizational information, or brand standards change. 

  • Complete design and content requests within established turnaround expectations and communicate proactively when priorities or scope affect timelines. 

Executive & Organizational Communications 

  • Create and format professional presentations for the Executive Leadership Team, Board meetings, leadership meetings, community presentations, and other internal and external audiences. 

  • Own the planning, design, coordination, and production of OFA’s annual report, including the project schedule, content collection, review, approval, and final publication. 

  • Coordinate with internal stakeholders to gather data, outcomes, stories, program highlights, financial information, photography, and other content required for the annual report. 

  • Translate data and complex information into clear charts, graphics, infographics, reports, training materials, employee resources, and other visual communications. 

Website & Intranet Management 

  • Own the day-to-day content management and upkeep of OFA’s external website and company intranet, including Squarespace page updates, forms, landing pages, program information, and other digital content. 

  • Support and maintain designated landing pages and web-based marketing pages hosted or managed through GitHub. 

  • Conduct website and intranet reviews at least monthly, with updates as organizational changes occur, to address outdated information, broken links, formatting issues, inaccessible content, and other corrections. 

Website Analytics, SEO & Digital Performance 

  • Use Google Analytics 4 (GA4), Google Search Console, Bitly, and related tools to monitor website traffic, user behavior, search performance, indexing, link engagement, and digital campaign performance. 

  • Review digital performance data regularly and recommend opportunities to improve visibility, usability, engagement, and conversion. 

Brand & Creative Asset Management 

  • Maintain OFA’s visual identity and organized libraries of logos, typography, colors, imagery, templates, and other brand assets. 

  • Ensure materials follow accessible and inclusive design practices, including appropriate typography, contrast, readability, document structure, PDFs, presentations, and website content. 

Print Production & Business Materials 

  • Manage business card creation, proofing, and in-house printing for employees. 

  • Coordinate production of signage, banners, event displays, promotional materials, annual report materials, and other branded print assets. 

Email, Events & Digital Communications Support 

  • Support external email campaigns and communications using Mailchimp, including newsletters, announcements, audience lists, and branded email content. 

  • Assist with digital invitations, registration, and event communications using Evite and Eventbrite. 

  • Support surveys and data collection through Microsoft Forms and website inquiry and referral forms through Squarespace Forms. 

Marketing Technology & Platform Support 

  • Work across OFA’s marketing platforms, including Squarespace, GitHub, GA4, Google Search Console, Bitly, Issuu, Mailchimp, Canva, Adobe Creative Cloud, CapCut, Microsoft Forms, Evite, Eventbrite, platform-native analytics tools, and LastPass. 

  • Provide creative support within Meta Business Suite, LinkedIn, TikTok, YouTube, and Meta Lead Forms as needed. Day-to-day social media publishing, engagement, and account management may be assigned to the other marketing team member. 

Project Management & Collaboration 

  • Manage multiple design, website, intranet, annual report, print, and digital projects while maintaining priorities and deadlines. 

  • Work with internal stakeholders to clarify project goals, audiences, messaging, specifications, and timelines. 

  • Collaborate with OFA’s third-party marketing vendor and other external partners to coordinate projects, provide needed information and brand assets, review deliverables, and ensure alignment with organizational priorities, accessibility, and brand standards. 

  • Proofread and quality-check materials before publication or production. 

Performance Expectations 

  • Maintain the external website and intranet through monthly reviews and timely updates when organizational information changes. 

  • Complete annual report milestones and final publication according to OFA’s approved project timeline. 

  • Maintain accurate, current brand assets, templates, documentation, and cross-training for critical Marketing functions to support continuity during absences. 

  • Meet agreed-upon deadlines and OFA standards for quality, accuracy, accessibility, and professional presentation.

Qualifications

Education 

  • High school diploma, equivalent, or GED. 

  • Bachelor’s degree in Graphic Design, Visual Communications, Marketing, Communications, Digital Media, or a related field (preferred) 

Experience 

  • Four or more years of professional experience in graphic design, marketing design, digital content management, visual communications, or a related field preferred. 

  • Demonstrated experience independently managing creative and digital responsibilities, including website content, presentations, print production, and organizational marketing materials. 

  • Experience managing content within Squarespace or a comparable content management system required; direct Squarespace experience strongly preferred. 

  • Experience with website analytics, digital publishing, print vendors, and external marketing or creative partners preferred. 

  • Experience in a nonprofit, healthcare, human services, education, disability services, or multi-location organization is a plus. 

  • Professional portfolio demonstrating strong graphic design, layout, presentation, digital, and visual communication skills required. 

 

Skills 

  • Strong proficiency with Canva and Microsoft PowerPoint, and proficiency with relevant Adobe Creative Cloud applications. 

  • Working knowledge of Squarespace, website content management, GA4, Google Search Console, Bitly, Issuu, Mailchimp, and related marketing platforms. 

  • Ability to learn and work effectively within GitHub-based workflows used for designated web pages. 

  • Strong understanding of typography, layout, visual hierarchy, print production, branding, digital content organization, accessibility, and inclusive design principles. 

  • Ability to translate complex information and organizational data into clear, visually compelling materials. 

  • Strong attention to detail, proofreading, organization, quality control, and project management skills. 

  • Ability to manage multiple projects, deadlines, stakeholders, and external vendors while working independently and collaborating with employees at all levels, including senior executives. 

  • Basic knowledge of SEO, website analytics, digital marketing metrics, and content performance. 

  • Strong judgment regarding brand standards, organizational communications, vendor coordination, and use of organizational resources. 

 

Conditions of Employment

  • A valid driver’s license, reliable transportation, and an acceptable driving record are required for this role. 

  • This role requires travel within the region where services are provided.

This position requires the employee to regularly stand, walk, sit, talk and hear. The employee must be capable of writing, using a computer keyboard, telephone and related office equipment. Ability to lift 10lbs. required.
