Westwood Professional Services

The Marketing Operations Coordinator provides administrative, marketing, and organizational support to Westwood's Brand & Marketing team, helping enhance the consistency and alignment of Westwood's brand image, messaging, and communications across the organization. Reporting to the Director, Marketing, this role supports a wide range of marketing operations, branded collateral, and internal/external communications initiatives, applying strong attention to detail, organization, and creative talent to keep projects moving forward. This is a strong opportunity for a highly motivated, detail-oriented professional to grow within a fast-paced, collaborative marketing team.

Marketing Support

  • Owns and manages the company-wide digital asset management system (OpenAsset), including organization, tagging, uploads, and standards.
  • Supports the organization, maintenance, and data integrity of other marketing platforms (HubSpot, Semrush, Profound, and related applications).
  • Helps research and implement AI tools and emerging technologies that improve teamwork.
  • Provides basic SEO and keyword research to support website, content, and social media optimization.
  • Coordinates and submits national and local award submittals.
  • Pitches in on team initiatives and projects as priorities evolve.

Branded Collateral Production

  • Coordinates revision requests and maintains a collateral library of current, approved versions that are organized, accessible, and clearly communicated.
  • Rebrands Word documents and PowerPoints to align with brand standards.
  • Resizes and optimizes graphics using brand-approved templates for web, video, social, and print.
  • Supports coordination of portrait, project, and culture photography.

Internal/External Marketing & Communications Support

  • Coordinates branded event materials from start to finish, including booth graphics, handouts, promotional items, and social campaigns.
  • Manages promotional item requests and related communications in alignment with brand standards.
  • Maintains the trade show calendar and keeps the team on track with pre-show checklists, deadlines, and deliverables.
  • Assists with team billing and invoicing for vendor payments, bank/credit card statements, and other needs.
  • Assists with website updates, social media posting, intranet posts, and other communications as needed.

Requirements

 Required Qualifications

  • 1–3 years in marketing, graphic production, project coordination, or a related role, or a degree in marketing, communications, business, or a related field.
  • Working knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator), Canva, and Microsoft Office.
  • Strong organizational skills and the ability to juggle multiple priorities and deadlines accurately.
  • Comfortable learning new platforms and figuring out how systems, processes, and data fit together.
  • Clear written and verbal communication across teams and levels.

Preferred Qualifications

  • Experience administering a digital asset management platform, CRM, or CMS.
  • Familiarity with SEO, keyword research, or website analytics (GA4, Data Studio).
  • Interest in AI-enabled marketing tools and emerging technology.
