 POSITION PURPOSE

The Marketing & Referral Coordinator is responsible for building, maintaining, and strengthening relationships with referring dental offices while increasing patient referrals and community awareness of the oral surgery practice.

This position combines field-based outreach with in-office referral development and marketing activities. The Coordinator will visit referring offices, conduct referral calls and follow-up, track referral activity, coordinate outreach initiatives and events, and identify opportunities to grow existing and new referral relationships.

The ideal candidate is professional, outgoing, organized, self-motivated, and comfortable building relationships with doctors, dental professionals, and community partners.

PRINCIPAL RESPONSIBILITIES & DUTIESReferral Development & Outreach
  • Develop and maintain strong relationships with dentists, dental specialists, physicians, and their office teams.
  • Conduct regular visits to existing and prospective referring offices to promote the practice, providers, services, and patient experience.
  • Identify and develop new referral relationships within the community.
  • Conduct referral calls, thank referring offices, and provide appropriate follow-up regarding referrals and scheduling.
  • Re-engage offices with declining or inactive referral activity and identify opportunities to strengthen relationships.
  • Deliver marketing materials, educational information, referral resources, and approved appreciation items to referring offices.
  • Coordinate and participate in office visits, lunches, open houses, study clubs, educational programs, and other outreach events.
Referral Tracking & Growth
  • Maintain an accurate referral database and document office visits, calls, follow-up activities, and relationship-development opportunities.
  • Monitor referral activity and identify trends by referring office and provider.
  • Prepare referral reports and communicate trends, concerns, and growth opportunities to surgeons and practice leadership.
  • Establish and work toward measurable referral-development and outreach goals.
  • Participate in regular marketing and referral strategy discussions with practice leadership.
Marketing & Practice Promotion
  • Assist with marketing initiatives designed to increase referrals, patient volume, and practice awareness.
  • Support website and social media content to ensure practice information is accurate, engaging, and current.
  • Coordinate marketing materials, referral resources, promotional items, and event needs.
  • Partner with practice leadership and the Marketing Department to ensure outreach activities align with practice goals.
  • Assist with employee engagement activities and special projects as needed.
  • Provide occasional front-office support based on business needs.
MINIMUM QUALIFICATIONS
  • Experience in marketing, business development, referral outreach, sales, customer relationship management, or a related field; healthcare or dental experience preferred.
  • Strong relationship-building, customer service, and communication skills.
  • Professional and confident when communicating with doctors and dental office teams.
  • Comfortable conducting frequent telephone outreach and face-to-face office visits.
  • Self-motivated, organized, and able to work independently while remaining accountable to established goals.
  • Ability to manage multiple priorities and demonstrate strong follow-through.
  • Familiarity with social media, digital marketing, and basic referral/data tracking.
  • Proficiency with Microsoft Office and ability to learn practice management or CRM systems.
  • Valid driver's license and reliable transportation for local travel.
PREFERRED SKILLS
  • Dental or oral surgery experience.
  • Knowledge of dental terminology and the dental referral process.
  • Sales, marketing, account management, or business-development experience.
  • Experience tracking referral sources and marketing metrics.
  • Event planning or community outreach experience.
PHYSICAL & WORK REQUIREMENTS
  • Ability to travel locally to referring offices and events.
  • Ability to lift and carry marketing materials and supplies up to 25 pounds.
  • Ability to work both independently in the field and collaboratively within the practice.
  • Occasional attendance at events outside normal business hours may be required.
