We are a leading medical, surgical, and cosmetic dermatology group specializing in skin, hair, and nail conditions, Mohs micrographic surgery for the treatment of skin cancer, surgical and non-surgical cosmetic skincare, anti-aging, body contouring, and plastic surgery.

Position Summary

The Marketing Coordinator is responsible for supporting the day-to-day execution of marketing initiatives across the organization’s dermatology practices and affiliate brands. This role serves as a key connection point between the Marketing team, clinics, field liaisons, creative partners, and other internal stakeholders.

The Marketing Coordinator will manage marketing calendars and project trackers, coordinate content and creative needs, maintain digital and brand assets, support clinic-level marketing initiatives, and ensure marketing materials and online experiences are accurate, current, and on brand.

This is a hands-on role requiring strong organization, attention to detail, communication skills, and the ability to manage multiple projects and deadlines in a fast-paced, multi-location environment.

Key Responsibilities

Marketing Operations & Project Management

  • Manage the overall marketing calendar and track upcoming campaigns, events, content, and clinic initiatives.

  • Maintain and manage the marketing project tracker, including project status, deadlines, owners, and outstanding requests.

  • Communicate project status and follow up with internal stakeholders and requestors to keep projects moving forward.

  • Monitor campaign results and maintain marketing reports and tracking documents.

  • Support the Marketing Manager and Director with execution of marketing initiatives and special projects.

  • Coordinate workflow and communication between internal teams, clinics, field liaisons, and external marketing partners.

Social Media & Content

  • Manage social media content for affiliate brands and coordinate Constant Media video content across clinics.
  • Maintain and organize the company’s Canto video and digital asset library.
  • Learn and utilize CRM and other marketing technology platforms to support marketing initiatives.
  • Coordinate photography and video shoots, including scheduling with clinics and providers.
  • Support minor website content updates and ensure information remains accurate and current.
  • Conduct quality assurance on website enhancements and online scheduling to ensure functionality and accuracy.

Brand & Creative Support

  • Serve as the primary proofreader for marketing and creative assets, ensuring accuracy, consistency, and brand compliance.
  • Maintain organized libraries of marketing assets, templates, photography, and brand materials.
  • Customize approved flyer and marketing templates with clinic-specific event, offer, provider, and location information.
  • Support field physician liaisons with approved marketing collateral and materials needed for physician outreach and community events.
  • Coordinate the ordering and distribution of print materials for individual clinics.

Provider & Clinic Support

  • Collect required information and coordinate the marketing onboarding process for new providers.
  • Support the creation and distribution of provider-related marketing materials.
  • Audit and update insurance information across websites, marketing materials, and other patient-facing resources.
  • Help ensure clinic-specific marketing information, promotions, events, and materials are accurate and up to date.

Digital Presence & Quality Assurance

  • Monitor business listings and coordinate verification and updates to ensure accurate practice information across platforms.
  • Conduct regular audits of websites, online scheduling, business listings, and marketing materials.
  • Identify discrepancies or issues and coordinate corrections with the appropriate internal or external team.
  • Perform QA testing on website updates, online scheduling functionality, links, forms, and other digital marketing enhancements.

Qualifications

  • 2+ years of experience in marketing, communications, digital marketing, or a related field.
  • Must be proficient in Microsoft Excel, including organizing and maintaining spreadsheets, tracking data, creating reports, and using formulas and basic data analysis tools.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and proofreading skills.
  • Strong written and verbal communication skills.
  • Comfortable working across multiple locations, brands, and stakeholders.
  • Experience with social media platforms and digital marketing tools.
  • Ability to learn and work within CRM, project management, content management, and digital asset management platforms.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Experience in healthcare, dermatology, aesthetics, or multi-location organizations is a plus.

What Success Looks Like

  • Marketing projects are organized, tracked, and completed on time.
  • Clinics and field liaisons have the marketing materials and support they need without creating unnecessary administrative work for the broader marketing team.
  • Marketing calendars, project trackers, and asset libraries are accurate and consistently maintained.
  • Website, business listing, insurance, and scheduling information is accurate across locations.
  • Creative assets are thoroughly proofread and meet brand standards before being published.
  • Campaign and project status is clearly communicated to stakeholders.
  • The Marketing Manager and Director have more capacity to focus on strategy, content, analytics, campaigns, and growth initiatives rather than day-to-day coordination and follow-up.
