Axos Bank is seeking a highly organized, detail-oriented Marketing Coordinator to manage vendor relationships and budget tracking for our integrated Enterprise Marketing organization. This role is the operational backbone for a fast-moving marketing team — keeping vendor engagements, spend, and financial documentation accurate, current, and audit-ready.
This is an ideal role for someone with strong vendor management, budget administration, or operations experience who wants to apply those skills within a corporate marketing function.

  • Vendor Management

    ·         Serve as the primary point of contact for marketing vendors and agency partners on contracts, invoicing, deliverables, and timelines

    ·         Manage vendor onboarding, including contract routing, procurement documentation, and compliance requirements

    ·         Track vendor deliverables against SOWs and flag delays, scope changes, or performance issues to team leads

    ·         Maintain a current vendor directory including contract terms, renewal dates, and key contacts

    ·         Support vendor evaluation and renewal conversations by compiling spend history and performance data

  • Budget Management

    ·         Track marketing budgets against plan across teams and campaigns, flagging variances and risks proactively

    ·         Forecast actual spend vs. budget on a recurring basis, incorporating known commitments, vendor timelines, and campaign pacing

    ·         Process invoices, POs, and expense reports; ensure accurate coding and timely payment

    ·         Maintain budget trackers and reconcile actuals against forecast on a recurring cadence

    ·         Prepare and deliver regular budget-to-actual and forecast reports to Finance, following established reporting formats and timelines

    ·         Support the annual and quarterly budget planning cycle by compiling historical spend, vendor cost data, and forward-looking forecasts

  • Administrative & Operational Support

    ·         Own team process documentation related to vendor and budget workflows, ensuring compliance with risk controls

    ·         Organize and archive contracts, invoices, and financial records to support audit readiness

    ·         Coordinate timelines and logistics across functional teams as needed

    ·         Manage project and vendor workflows in Workfront or equivalent tools

  • Reporting & Documentation Support

    ·         Compile recurring budget and vendor reporting packages (Quarterly Marketing Reports, bi-weekly updates, enterprise MAP reports)

    ·         Prepare polished PowerPoint and briefing materials summarizing spend and vendor performance for leadership

  • Qualifications:

    ·         Bachelor's degree in Business, Finance, Marketing, or a related field preferred; equivalent experience considered

    ·         2+ years of experience in vendor management, budget administration, procurement, or operations support

    ·         Experience building or maintaining spend forecasts and variance analysis (actual vs. budget) preferred

    ·         Comfortable partnering directly with Finance stakeholders on recurring reporting deliverables

    ·         Strong Excel skills (tracking, reconciliation, basic formulas); PowerPoint proficiency for leadership-ready materials

    ·         Comfort working with contracts, invoices, and financial documentation with high attention to detail

    ·         Experience with project management or procurement tools (Workfront, Coupa, or equivalent) a plus

    ·         High degree of discretion when handling vendor and budget information

    ·         Strong written and verbal communication skills; confident holding vendors accountable to commitments

    ·         Comfortable working independently in a fast-paced, corporate environment

    ·         Marketing or financial services experience is a plus, but not required
