This role blends exceptional customer service, project coordination, personalization selections, move-in planning, and hands-on marketing support.

You will serve as a trusted point of contact from pre-move planning through post-move follow-up, helping residents navigate selections, timelines, vendors, closing details, and the many small touches that make a new residence feel like home.

What You’ll Do

Guide personalization and residence planning

  • Meet individually with future residents to review residence details, including finishes, mechanical/electrical/plumbing selections, and approved custom requests.
  • Help residents make thoughtful finish and customization choices using established interior design templates.
  • Maintain accurate personalization records, approvals, addendums, payments, schedules, and resident status updates.
  • Lead weekly coordination calls with the design team and participate in construction walks to help ensure selections stay on track.

Coordinate a smooth move-in experience

  • Create and maintain a helpful Move-In Guide with vendor resources, timelines, and practical tips.
  • Conduct home visits and provide personal support with rightsizing, space planning, utility transfers, and other move-related decisions.
  • Coordinate moving-day logistics, including schedules, entrances, elevators, parking, protective padding, vendors, and furniture placement.
  • Complete closing documents and coordinate pre-closing, resident, and final walkthroughs, including follow-up on outstanding work.
  • Welcome new residents and their families, provide introductions and orientation, and follow up after move-in.

Support marketing and sales

  • Greet visitors and respond to marketing calls with warmth, professionalism, and timely follow-through.
  • Assist with marketing events, reports, direct-mail lists, model residences, tours, closing activities, and other department needs.
  • Maintain current lead and prospect information and collaborate across departments to support occupancy and sales goals.
QualificationsWhat You’ll Bring
  • Bachelor’s degree in marketing, communications, interactive media, social media management, or a related field.
  • One to two years of experience in marketing, communications, writing, project coordination, or a related area; online marketing or social media experience is preferred.
  • Strong written and verbal communication skills, sound judgment, and a genuine commitment to compassionate customer service.
  • Excellent organization and follow-through, with the ability to manage multiple residents, vendors, decisions, documents, and deadlines at once.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook, plus the ability to learn and stay current with new software.
  • The ability to work independently, build confidence and trust, solve problems, and collaborate with people from a wide range of backgrounds.
  • Project management or administrative support experience in a small-to-medium organization; nonprofit or senior living experience is a plus.
