Under supervision of the Vice President, Marketing & Communications, the Marking Coordinator supports the West region MarComm team, by managing and executing key marketing initiatives, including sponsorships, events, and communications. Main activities include managing timelines and deliverables for sponsorships and partnerships, developing marketing content, managing swag, and collaborating cross-functionally to support regional marketing efforts.
Essential Duties & Responsibilities- Execute and manage deliverables associated with marketing partnerships and sponsorships (such as business journals and sports teams) across MMA’s West region offices.
- Lead development of ad messaging and manage advertising deadlines and collaborate with team members (graphic design, and subject matter experts) to develop creative ad copy
- Identify and develop sponsorship opportunities in growth markets, leading outreach with producers and external partners and delivering recommendations to regional leadership aligned with business goals and budget considerations
- Develop sponsorship communications end-to-end, creating messaging and content while guiding regional leadership on targeted distribution to sales team to drive attendance and engagement at sponsored events
- Serve as primary point of contact for sponsorships and strategic partnerships, tracking and managing all deliverables and partnership benefits to optimize overall value Own invoice and contract management processes for sponsorships, partnerships and promotional product vendors, including billing, PO system execution, and compliance approvals across the West region. Develop write ups and submissions for annual industry, individual, and workplace awards
- Manage a calendar of award deadlines and coordinate nominations
- Serve as the primary point of contact for all Work Place Award programs across MMA’s West region, in close collaboration with HR, tracking nominations and results, and partnering with leadership to promote survey participation and rankings
- Develop written responses for the employer essay question’s portion of the annual Work Place Award programs across MMA’s West region markets
- Research and present new award opportunities
- Support sales producers as needed with marketing support
- Support sales team with strategic marketing initiatives, including promotional content, branded giveaways, tradeshow materials and equipment, for the planning and hosting of networking events aligned with prospect and client engagement goals
- Manage requests for trade show equipment, marketing collateral, and branded giveaway items for sales team’s events across offices; partner closely with vendors to source options, provide design input, and ensure selections align with event goals and brand standards
- Oversee swag coordination across MMA’s West region, guiding office coordinators, managing inventory, and placing orders to ensure timely fulfillment and consistent brand standards
- Collaborate with other MarComm colleagues including:
- Assisting Events team with day-of and on-site event needs
- Create and lead the content development for client facing seminars and webinars, collaborating with publications on formatting and the social media team to drive promotion across all platforms
Successful candidate will be a detail-oriented individual with a knack for seeing projects from start to finish, a hands-on work style, and a desire to wear a lot of different “marketing hats”. This position requires someone who is comfortable working at a varying pace, managing multiple tasks, projects and deadlines simultaneously, and collaborating with colleagues across sales, MarComm, and leadership.
The Marketing Coordinator must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required:
- 1-2 years of experience working in an office environment preferred
- Must have the verbal, written, quantitative and interpersonal skills normally acquired through the pursuit of or completion of a bachelor’s degree, preferably in Communications or similar.
- Strong organization and coordination skills.
- Skilled and knowledgeable in the use of customer service standards and procedures.
- Ability to exercise independent judgment and initiative within established guidelines.
- Proficient in the use of MS Office software (Outlook, Word PowerPoint and Excel)
- Proficiency in various digital platforms and marketing technologies (Salesforce, Pardot) a plus
- Experience using Adobe graphics design software a plus.
- Skill in organizing resources and establishing priorities to effectively meet multiple deadlines.
- Demonstrated ability to resolve problems and present results neatly, with clarity and precision in oral and written form.

- Maintain a valid Driver’s License & have reliable transportation.
- Ability to use computer keyboard and sit in a stationary position for extended periods.
- Work is performed in a typical interior/office work environment.
- This position requires the ability to stoop and bend regularly, and lift up to 25 lbs.
- 10-15% travel may be required. Travel may consist of 1 – 2 overnight trips per year covering areas both in and out of state.
- Extended work required on occasion due to special events and attendance and participation at networking, training, and industry functions that begin well before the workday, and may extend well into the evening.

The applicable base salary range for this role is $45,000 to $78,800.The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis.
