 About this opportunity – Marketing Administrator


Description:

In this Marketing Administrator role, you’ll support a wide range of commercial activities—including tradeshows, VIP visits, and off-site events—while also managing the marketing inventory and providing key administrative support. This is a hands-on role ideal for someone who thrives in a fast-paced environment and enjoys being a central point of coordination for marketing logistics and operations.

 

Job Responsibilities:

Marketing Inventory Management: Maintain and oversee inventory of marketing materials such as sales collateral, demo products, and branded swag; coordinate restocking and organization.

Tradeshow Support: Assist with end-to-end tradeshow logistics, including packing, shipping, and receiving event materials; coordinate with internal teams to ensure smooth execution.

Sales Team Enablement: Organize and ship marketing tools and promotional materials to the field sales team in a timely and efficient manner.

Executive Administrative Support: Prepare and submit expense reports for VP and SVP of Marketing using internal systems such as Concur.

Event Coordination: Support planning and logistics for on-site events and VIP visits, including catering, conference room/lab booking, and setup.

Operational Support: Partner with internal stakeholders to process shipping requests, maintain marketing databases, and track task progress to ensure timely completion.

Team Collaboration: Act as a liaison between marketing and other departments to ensure communication and alignment on marketing initiatives.

 

Qualification Requirements:

Education:

High school diploma or equivalent required

Associate or bachelor’s degree in marketing, business, or a related field preferred

Experience:

Minimum 2 years of relevant experience in marketing coordination or event planning

Experience in a professional office setting preferred

 

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Familiarity with Concur or similar expense/reporting systems a plus

Strong organizational and multitasking abilities

Excellent communication and interpersonal skills

Detail-oriented with a high level of accuracy

Customer-service mindset and ability to anticipate team needs

Ability to lift and move event materials (up to 25/30 lbs occasionally)

Some domestic travel up to 20% for tradeshows and sales events


Pre-requisites / Job Experience:

Must be available to work full-time, on-site.

Must be authorized to work in the U.S.

 

Physical Requirements:

Extended periods of sitting or speaking.

Light lifting.

Heavy computer use.

Must adhere to the company’s safety practices by performing work safely and in accordance with established standards.


Work Environment:

Working conditions are normal for an office environment.
