The Opportunity

We are seeking a highly organized, detail-oriented Marketing Administrative Assistant to support our Florida Marketing Operations team.

This position plays an essential role in supporting daily marketing operations, maintaining accurate records, coordinating administrative processes, and ensuring effective communication across departments.

The ideal candidate is a proactive, resourceful professional who thrives in a fast-paced environment, demonstrates strong attention to detail, and takes pride in supporting operational efficiency.

Working closely with Marketing Leadership and resort teams, this individual will help streamline processes, maintain reporting accuracy, and provide the administrative support necessary to drive departmental success.

Key Responsibilities

Marketing Operations & Administrative Support

  • Provide comprehensive administrative support to the Florida Marketing Operations team and regional leadership.

  • Coordinate departmental calendars, meetings, schedules, and operational activities.

  • Maintain organized records, files, and documentation in accordance with company procedures.

  • Assist with daily administrative functions to support efficient marketing operations.

  • Facilitate communication between Marketing Leadership, resort operations, and other internal departments.

Reporting & Data Management

  • Maintain accurate departmental records, spreadsheets, and operational databases.

  • Assist in preparing daily, weekly, and monthly marketing reports.

  • Compile, organize, and distribute performance data and operational updates.

  • Support leadership with presentations, reports, and other business documentation.

  • Ensure timely and accurate data entry while maintaining confidentiality and data integrity.

Departmental Coordination & Communication

  • Serve as an administrative resource for marketing associates, managers, and regional leadership.

  • Assist with scheduling meetings, coordinating travel arrangements, and organizing departmental activities.

  • Communicate professionally with internal teams, external partners, and resort personnel.

  • Support onboarding coordination and administrative documentation for new marketing team members as needed.

  • Assist with tracking office supplies, departmental resources, and inventory needs.

Operational Excellence

  • Identify opportunities to improve administrative workflows and departmental efficiency.

  • Ensure assignments, reports, and documentation are completed accurately and within established deadlines.

  • Maintain professionalism and discretion when handling confidential employee and business information.

  • Provide additional administrative and operational support as business needs evolve.

What We're Looking For

  • Previous experience in an administrative, marketing support, or business operations role preferred.

  • Proficiency in Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.

  • Strong organizational skills with exceptional attention to detail.

  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Strong problem-solving abilities and a proactive approach to daily responsibilities.

  • Ability to work independently while collaborating with multiple departments and leadership teams.

  • Professional demeanor with a commitment to accuracy, confidentiality, and accountability.

  • High school diploma or GED required; additional education or training in business administration, marketing, or a related field preferred.

Hospitality, resort operations, vacation ownership, or marketing administration experience is a plus, but not required.
