Job Description

We are seeking a proactive and detail-oriented Marketing Administration Executive to join our team in Gibraltar.

You will play a crucial role in supporting our marketing operations, managing financial processes, and providing administrative assistance to the Global Chief Marketing Officer (CMO).

This position requires strong organisational skills, attention to detail, and the ability to work collaboratively across various departments.

Qualifications

  • Proven experience in a marketing and/or administrative role, preferably within a financial or corporate environment.
  • Strong organisational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and familiarity with financial tracking tools.
  • Proactive approach to problem-solving and a keen eye for detail.

Additional Information

  • Processing and approving invoices across the complementary content cost base and Gibraltar Purchase Ledger, ensuring accurate coding and alignment with budgetary constraints.
  • Tracking and monitoring invoice statuses via the different trackers, providing regular updates and reporting on over/underspends to the Finance team.
  • Collaborating with the CEO of Media Services to assist in the creation of the annual fiscal budget for complementary content and sponsorship.
  • Providing essential data for accruals and forecasting purposes, while conducting periodic reviews of financial performance against budgets to offer insights on projections.
  • Managing sponsorship budget spends by approving expenditures and maintaining trackers, including holding monthly meetings with Finance to discuss performance.
  • Organising and chairing the Global OAO call, and facilitating the Trading and Marketing call, ensuring effective communication and the distribution of meeting notes.
  • Coordinating and chairing additional meetings as required, ensuring accurate minutes are captured and distributed to all relevant stakeholders.
  • Managing of mailboxes, ensuring budget owners are kept informed of the latest invoicing requirements and processes.
  • Providing general office support and personal assistant duties to the Global CMO as required.
