Job Overview: To provide operations administrative support and the coordination of key compliance and engagement activities. This role reports to the Site Director. The successful candidate will be an organized and proactive individual capable of multitasking and maintaining a high level of confidentiality.
Key Outputs:
Weekly payroll administration.
Support onboarding of new employees.
Anticipate and prepare materials needed for conferences, correspondence, appointments, meetings, telephone calls, etc.
Prepare special or on- time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources.
Handle details of a confidential nature, and performs administrative functions based on understanding of company policy, views and philosophy.
Co-lead plant engagement initiatives at the site including brand events, site events committee and other events; support Leadership Team on annual engagement survey action plans.
Day-to-day point of contact for employee issues
Maintain site records in compliance with Diageo North America Records Retention policy, including but not limited to training and safety documentation.
Maintain Site Shared Folders.
In partnership with Risk/Quality manager coordinate, communicate and track compliance activities across site.
Maintain and purchase office supplies.
Manage payments to vendors using SAP/COUPA.
Support operations team with inventory transactions in SAP.
Amend/update vendor information with the DBS team.
Manage office areas and meeting accommodations including supply replenishment with a focus on cost control.
Greet site visitors as first point of contact for inquiries from the public.
Qualifications and Experience Required:
Minimum of 3-5 years administrative experience working for multiple managers.
Experience working in a union environment preferred but not required.
Proficiency in the use of PowerPoint, Word, Excel, SAP, payroll processing programs and efficiency with the Internet is preferred.
Must have excellent organizational skills and attention to detail.
Must be able to multitask in a fast-paced environment.
Interest in and prior experience in managing small projects.
Excellent interpersonal skills to enhance the external & internal customer experience.
