Purpose
The purpose of this position is to manage and direct the Processing Analytics department to provide analytical support for all processing facilities across Illinois, Massachusetts, New York, Ohio & Pennsylvania. This role is responsible for interfacing on a weekly basis with managers and supervisors from the Extraction, Kitchen, Processing Packaging, Processing Compliance, R&D, Quality Assurance and Supply Chain departments to ensure that data tracking systems and reporting are generated, maintained, and revised to meet the needs of those departments. The Processing Analytics Manager is expected to direct the application of data to assist these departments in establishing weekly production targets, ensuring quality standards are maintained, creating/meeting KPIs, improving yields, and reducing costs. This position will manage Processing Analytics team members, establish team goals, set cross training schedules, approve timecards and provide technical expertise in data analysis as well as the proper utilization of Google tracking systems, Smartsheet, Metrc, Biotrack, NAV & MJFreeway. The Processing Analytics Manager is expected to work with their counterparts in Pharmacann’s other states and cultivation facilities to maintain data and reporting standards and integrity company wide. The Processing Analytics Manager is expected to operate under the highest standards of compliance and professionalism.
The salary for this position starts at $67,500/yr.
Essential Duties
Leadership Procedures & Tasks
- Manage employees including assigning and directing work, hiring and developing staff, setting regular cross training goals, rewarding and disciplining where appropriate, addressing complaints and resolving employee issues.
- Monitor employee attendance, time off balances, time off requests, and all other attendance related processes.
- Perform annual employee reviews.
- Schedule labor as required by anticipated business activity to ensure staff are available when needed to provide support to all teams working within Processing facilities across Illinois, Massachusetts, New York, Ohio & Pennsylvania.
- Managing, delegating, and training staff on inventory systems and software to maintain complete compliance and consistent organization. This role is responsible for the training and development of the team member’s ability to operate and report in the inventory systems such as Google, Smartsheet, Metrc, Biotrack, NAV & MJFreeway.
- Deliver technical leadership and managerial direction around report development and maintenance to ensure reports are produced in an efficient and useful manner for the departments requesting them.
- Assist with developing and managing projects, including defining project scope, resources and achieving deliverables on time and within budget.
- Provide effective leadership to employees to ensure a complete understanding of and alignment to the Company’s vision, mission, and values to maintain a positive work environment and a high level of morale.
Compliance and Auditing
- Ensure all compliance requirements across all processing facilities are met including the facilitation of all local and state specific regulations and the accommodation of immediate adjustments to procedures as necessitated by the rapidly changing regulatory environment.
- Development, management, and implementation of Standard Operation Procedures and related training materials for the department.
- Oversee data collection of daily processing activities impacting trim, concentrate, edible, vape and topical inventories across all facilities and the accurate verification and reporting of data to internal systems and state seed to sale systems.
- Direct coordination with the Compliance department to ensure daily, weekly, and quarterly physical and digital audits are being performed to maintain accurate inventory levels and data integrity.
- Audit weekly production tracking reports for irregularities and coordinate with the appropriate teams to facilitate timely resolutions and ensure proper documentation. Refine data systems to provide efficient feedback loops alert users to frequently occurring errors before they are posted.
- Responsible for providing all necessary processing data for financial and regulatory audits as well as coordinating on site staff for audit preparation and execution across all Illinois, Massachusetts, New York, Ohio & Pennsylvania processing facilities.
Data Systems, Production Planning and Reporting
- Maintain regular communication with the Extraction, Kitchen, Processing Packaging, Processing, Compliance, R&D, Quality Assurance and Supply Chain to ensure that data collection systems are built in a way that facilitates efficient workflow while maintaining necessary documentation, process integrity and appropriate inventory controls for cost tracking and compliance purposes.
- Responsible for overseeing the compilation of weekly, monthly, and quarterly production planning activities that ensure processing facilities in each state are operating on a unified production plan to meet the retail and/or wholesale demands of each state based on sales data. Production planning activities include but are not limited to creating extraction material goals for the Trim departments, setting weekly extraction production targets, creating SKU by SKU production targets for the Kitchen departments, establishing weekly packaging levels, and providing secondary oversight of distribution and wholesale par levels.
- Provide analytical support to all departments operating within Illinois, Massachusetts, New York, Ohio & Pennsylvania Processing facilities to facilitate accurate data tracking and reporting on yield, quality standards, labor, cost, material use and any other KPIs those departments find relevant to properly manage their teams.
- Work with department managers to review proposed process changes to analyze efficiency gains and equipment ROIs as necessary.
- Ensure necessary production, material use, and labor data is collected for the accurate construction of processing COGS.
- Work with Supply Chain / Marketing Departments to provide guidance on raw materials and packaging purchases based on production capabilities and sales forecasts.
- Analyze sales data to establish first party launch pars for new products.
- Responsible supporting Brand Management and Processing R&D in analyzing LivWell & Verilife Retail and Wholesale channels sales data as well as broader nationwide market data to identify opportunities for new product development.
- Coordinate with Retail, Marketing and Brand Management to conduct postmortem analysis on the effectiveness of promotion, performance of seasonal SKUS and assessment of continual production of existing SKUs.
Other Duties
- Other duties as assigned, including but not limited to assisting other departments to help facilitate works such as harvesting, trimming, farming, packaging, data entry, cleaning and light maintenance as needed throughout the facility.
- Assist with management and data development across all PharmaCann states as needed
Supervision
- Works under the direct supervision of the Senior Manager of Processing Analytics and Director of Analytics, also takes direction from the Vice President of Processing and Vice President of Cultivation.
- This person supervises exempt and nonexempt employees.
- This position is expected to assist with the management of members from the Grow Analytics team where appropriate and to facilitate cross training between teams.
Job Qualifications
Work Experience
- A minimum of three years of data analysis experience within cannabis or related production facilities required.
- At least six months experience in a leadership position required.
- Demonstrated ability to work with a distributed team of managers and associates, vendors, and community members. Success building and maintaining strong professional relationships.
- Demonstrates ability to consistently meet productivity and performance requirements.
- Advanced working knowledge of Google Sheets and/or Excel required.
- One year of experience working in METRC or Biotrack required.
- One year of experience working within NAV or similar inventory tracking systems required.
- Demonstrates a high attention to detail and ability to think creatively about the application of data towards facilitating consistent process improvement.
- Knowledge of local, state, and federal employment laws relating to key areas of responsibility.
- Must be able to secure appropriate work credentials from Illinois, Massachusetts, New York, Ohio & Pennsylvania
Education
- High School diploma or equivalent required.
- Bachelor’s degree preferred.
- Management training and education preferred.
