We're looking for a Senior Operations Manager who thrives in a fast-paced environment and is passionate about building scalable systems, processes, and operational excellence. This role will serve as a critical operational leader across multiple client programs, helping our teams deliver exceptional experiences through strong financial discipline, operational rigor, data-driven decision making, and continuous process improvement.

 

The ideal candidate is equal parts strategist, project manager, financial coordinator, analyst, and problem solver. You'll help lead the operational infrastructure that powers our merchandising, logistics, warehousing, experiential, and sampling programs while driving efficiency across people, process, technology, and reporting.

 

This role serves as the operational backbone of the business, ensuring seamless execution across field operations, inventory management, warehousing, logistics, financial administration, reporting, vendor management, and future program expansion.

 

Success in this role comes from balancing strategic thinking with hands-on execution while building trusted relationships internally and externally and ensuring our business operates efficiently, predictably, and profitably.


Responsibilities

You Will:

Business Operations & Process Leadership

  • Serve as the operational backbone across a portfolio of client programs, ensuring scalable processes and operational excellence.
  • Own and continuously improve SOPs, workflows, trackers, reporting tools, and governance frameworks.
  • Identify opportunities to improve efficiency, automation, cost savings, and overall business performance.
  • Support KPI management, forecasting, annual planning, quarterly business reviews, and strategic initiatives.

Financial Operations & Program Management

  • Lead day-to-day financial operations, including budgeting, forecasting, invoicing readiness, reconciliation, AP/PO coordination, and expense management.
  • Support CPQ, Salesforce, and reporting processes while ensuring financial accuracy and program profitability.
  • Deliver financial insights and recommendations that improve business performance.

Warehousing, Logistics & Inventory Management

  • Own Mosaic's warehousing and storage network, including vendor management, budget oversight, inventory controls, and optimization initiatives.
  • Maintain inventory systems and reporting tools, ensuring data accuracy and real-time visibility.
  • Drive storage rationalization, inventory optimization, asset lifecycle management, and logistics reporting.

Field Operations & Vendor Management

  • Partner with field teams to support operational planning, logistics coordination, issue resolution, market launches, and high-volume activity.
  • Monitor execution quality, compliance standards, KPI performance, and operational effectiveness.
  • Manage warehousing, logistics, inventory, fulfillment, and technology partners, ensuring strong service levels and accountability.

Reporting, Analytics & Leadership

  • Develop dashboards, reporting tools, and business intelligence solutions that support data-driven decision making.
  • Analyze operational, inventory, field, and financial performance data to identify trends and opportunities.
  • Build strong cross-functional relationships and foster a culture of accountability, collaboration, continuous improvement, and operational excellence.

 

 

What Success Looks Like

Within the first year, this role will:

  • Establish a scalable operating model across merchandising, logistics, and sampling programs
  • Improve visibility into inventory, storage, and financial performance
  • Reduce inefficiencies across current processes and reporting
  • Drive stronger forecasting accuracy and operational rigor
  • Build standardized tools, trackers, dashboards, and reporting frameworks
  • Become the operational "single source of truth" for the business
  • Enable future program growth without requiring significant incremental infrastructure
Qualifications

What You Bring

  • 5+ years of increasing responsibility in operations, logistics, field marketing, experiential marketing, project management, account management, or a related discipline
  • Strong understanding of experiential marketing, retail execution, field programs, logistics, merchandising, or sampling operations
  • Exceptional organizational and project management skills
  • Advanced Excel and data management capabilities
  • Strong financial acumen with experience managing budgets, invoicing, forecasting, and reconciliation
  • Experience managing multiple priorities and stakeholders simultaneously
  • Ability to translate data into recommendations and actionable insights
  • Strong communication, presentation, and relationship-building skills
  • Highly proactive mindset with a passion for process improvement
  • Exceptional attention to detail and problem-solving abilities
  • Comfortable operating in an entrepreneurial, fast-paced environment
  • Experience with CRM, forecasting, inventory management, reporting, and project management platforms preferred
  • A growth mindset, intellectual curiosity, and a desire to continuously improve yourself, your team, and the work

 

Skills Required
