The Role

Job Description:

The Epic Manager will manage the department's day-to-day operations and support various Epic clinical modules. They will collaborate with the department management team on planning, program development, human resource management, budget planning, customer satisfaction, communication, and regulatory compliance. This role involves performing staff-level duties and workflow analyses, recommending changes to enhance productivity, and adjusting staffing levels based on service needs. The Epic Manager will promote staff flexibility, cross-training, and effective communication through various channels. They will manage relationships with project stakeholders and address issues to promote effective working relations. Human resource functions, including interviewing, training, performance evaluation, and policy development, are part of the role. The Epic Manager will oversee vendor service contracts, prepare operational budgets, and drive quality and performance improvement initiatives. They will monitor department performance to meet monthly productivity and quality goals and facilitate collaboration of cross-functional teams. 

The ideal candidate will have strong leadership skills, and is someone who is familiar with managing budgets and vendor contracts. This person needs to be able to manage various projects/issues at one time. Someone who is familiar with Epic and who has been through an Epic implementation or conversion to Epic from another EHR. Highly desirable to have a background as an Epic analysts or certification in a clinical module (ClinDoc, Stork, ASAP, OpTime, Anesthesia, Ambulatory or Procedure Orders).

This is a remote position but will require travel.

Scope
1.Manages the day to day operations of the department, supports one or various EPIC modules. Collaborates with the department management team in planning, program development, human resource management, budget planning, customer satisfaction, communication and compliance with regulatory agencies. Performs staff level duties as needed.
2. Performs workflow analyses and recommends changes to enhance departmental productivity. Evaluates service needs and volumes and adjusts staffing levels accordingly. Maintains effective and appropriate staffing and staff scheduling to ensure levels of expected production are maintained. Promotes staff flexibility and cross-training. Provides communication to associates and management team through rounding, huddles, staff meetings and other forms of communication to relay updates regarding department updates, organizational activities, financial performance, educational opportunities, interdepartmental activities and QI activities.
3. Manages relationships with project stakeholder including governance, leadership, end- users, vendors, and consultants. Responsible for problem solving to address issues. Promotes effective working relations and works effectively as part of a department/unit team and interdepartmentally to facilitate that departments ability to meet its goals and objective. Ensures coordination of services with other departments to promote the highest level of efficiency and patient satisfaction. Participates in interdisciplinary committees throughout the organization.
4. Manages human resource functions such as interviewing, selection, orientation, education/training, feedback, performance evaluation, and policy and procedure development. Maintains personnel files, including documentation of appropriate staff orientation, competency, training, discipline and performance reviews. Oversees department timekeeping and payroll. Collaborates with HR concerning employee issues and performance. Conducts employee coaching, counselling, disciplinary actions and annual appraisals. Monitors staff adherence to hospital and departmental policies and procedures.
5. Participates in the preparation of operational budgets. Prepares and presents reports and other information. Oversees and manages vendor service contracts. Establishes regular communication with vendors to ensure vendor performance meets requirements.
6. Partners with the department director and leadership team to identify and drive quality and performance improvement initiatives. Ensures compliance with applicable regulatory guidelines and established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards. Participates with management team and staff in development of action plans in line with the organization's strategic initiatives and goals.
7. Responsible for monitoring department performance to ensure department meets monthly productivity and quality goals. Facilitates collaboration of cross-functional teams in a project environment with an emphasis on quality, productivity, and consistency.
Minimum Qualifications
Required:
High School Diploma or equivalent required
Five (5) years of experience in healthcare, technology or related field, including a minimum of 6 months in a leadership role is required
Preferred:
Associate's Degree or higher preferred

1. Thorough knowledge of information systems and of legal, ethical, management and organizational principles. Knowledge of systems integration issues. Experience in application and system development required.
2. Preferred: Clinical Experience preferred. Knowledge of the Epic system. Knowledge of Clinical Document, Orders, ED, Optime, Willow and Radiant applications. Knowledge of clinical workflows preferred.
3. Regular attendance to perform work on site during regularly scheduled business hours or scheduled shifts is required
4. Ability to work nights and/or weekends is required for identified positions

The hourly range for this position is listed below. Actual hourly rate dependent upon experience. 

$50.22 - $77.53
