Job Description:

The Manager, Administration is responsible for supporting the operational, financial, and administrative functions of IMAX Japan. This role combines responsibilities across Sales & Office Administration, Accounting, Finance, and Human Resources to ensure the efficient operation of the Japan office and provide support to internal stakeholders, external partners, and the broader APAC organization.

The successful candidate will serve as a key liaison between local operations and global teams, supporting financial reporting, payroll administration, office management, compliance activities, and employee-related processes. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Responsibilities:

Office Administration & Operational Support

  • Support the theatre network on operational issues and coordinate with relevant IMAX teams to provide timely solutions and partner support.

  • Manage general office administration, including:

    • Reception and phone support

    • Office and pantry supply management

    • Mail distribution and courier coordination

    • Visitor management

    • Office housekeeping coordination

    • Ordering flowers, condolence telegrams, and other client-related arrangements

  • Organize and coordinate corporate events and employee engagement initiatives, including Impact Day (CSR activities), summer events, and other company programs in collaboration with Corporate Communications and Facilities teams.

Accounting & Finance

  • Review, translate, and coordinate client invoices with HQ Finance, identifying and resolving discrepancies as needed.

  • Prepare and submit monthly financial reports to HQ Finance.

  • Review monthly IMAX reporting and coordinate with clients and internal stakeholders regarding statements and reconciliations.

  • Process and document office-related expenses and payments, including utilities and vendor invoices.

  • Manage petty cash and office expenditures.

  • Perform accounting activities, including:

    • Client invoicing

    • Rent and maintenance fee administration

    • Royalty invoicing and tracking

    • Accounts payable processing

  • Prepare and submit payable reports to HQ Finance.

  • Process payments for invoices addressed to IMAX Japan Inc.

  • Coordinate settlement of tax-related documents and obligations for IMAX Corporation, IMAX Theatres International Limited, and IMAX Japan Inc.

  • Act as the primary contact for local tax authority audits and inquiries.

Human Resources & Payroll Administration

  • Administer payroll for IMAX Japan and APAC employees.

  • Process employee expense reports and reimbursements.

  • Coordinate social insurance enrollment and related employee benefit administration.

  • Support employee-related administrative processes and compliance requirements.

Qualifications:

Required Qualifications

  • Experience in office administration, accounting, finance, payroll, or human resources functions.

  • Strong communication skills with the ability to interact effectively with internal stakeholders, external clients, and business partners.

  • Fluency in both Japanese and English.

  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

  • Demonstrated problem-solving abilities and attention to detail.

  • Ability to work independently while also collaborating effectively within a team environment.

  • Self-motivated with a proactive approach and strong sense of ownership.

Preferred Qualifications

  • CPA designation or equivalent accounting certification is considered an asset.

  • Experience working in an international business environment.

  • Exposure to accounting, payroll, tax compliance, and HR administration processes.

Position Challenges

This role requires managing a broad range of responsibilities across administration, finance, accounting, and human resources. The successful candidate will develop working knowledge of the film exhibition industry, local and international tax requirements, English-language commercial agreements, and international business processes through on-the-job learning.

An interest in the movie-going experience and entertainment industry will contribute to success in this role, although deep industry expertise is not required.
