We are looking for a detail-oriented and analytical Administrative Specialist to support management and key stakeholders with complex administrative activities, data analysis, reporting, process improvement, and stakeholder communication.
The role requires strong organizational skills, attention to detail, analytical thinking, and the ability to work independently while collaborating with internal specialists and external stakeholders.
Key Responsibilities1. Administrative Management
- Take ownership of defined and complex administrative activities and transactions.
- Ensure administrative processes are completed accurately, efficiently, and within agreed timelines.
- Coordinate and follow up on activities across relevant stakeholders.
2. Data Analysis & Reporting
- Collect, analyse, and validate data from multiple sources to support management and stakeholder information needs.
- Identify discrepancies, trends, and relevant insights from available data.
- Prepare meaningful reports, summaries, and presentations for management and other stakeholders.
- Provide clear commentary and recommendations based on data and findings.
3. Process Improvement
- Review existing administrative processes and identify opportunities to improve efficiency, accuracy, and effectiveness.
- Propose practical measures to streamline administrative activities and enhance service delivery.
- Support implementation of agreed process improvements.
4. Planning & Cross-Functional Coordination
- Collaborate with internal specialists and professionals to plan and coordinate specific transactions and activities.
- Ensure relevant information, documentation, and approvals are available to support timely execution.
- Coordinate multiple activities and stakeholders while maintaining attention to detail.
5. Stakeholder Management
- Communicate with internal and external stakeholders on behalf of management.
- Provide timely updates and ensure stakeholders are appropriately informed about relevant activities and transactions.
- Build effective working relationships with stakeholders and respond professionally to queries and requests.
- Bachelor’s degree in Business Administration, Management, Finance, Operations, or a related field.
- Relevant experience in administration, management support, reporting, operations, or coordination.
- Strong analytical and data interpretation skills.
- Experience preparing management reports and translating data into meaningful insights.
- Strong organizational and coordination skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in MS Excel, PowerPoint, Word, and other relevant business tools.
- Experience with ERP systems or business reporting tools is an advantage.
- Strong attention to detail and ability to work with confidential and sensitive information.
