Position overview
Hunter Douglas is seeking a highly organised and proactive Management Assistant to support two senior Directors in a dynamic and fast-paced environment. This is a key role focused on enabling their effectiveness through seamless coordination, communication, and administrative support.
In addition to providing high-level executive assistance, this role offers the opportunity to get involved in project support. If you’re someone who thrives on variety, takes initiative, and enjoys working at the heart of a high-performing leadership team, we’d love to hear from you.
Key responsibilities:
The Management Assistant will have a broad set of responsibilities split over several key areas:
- Manage complex and ever-changing calendars, prioritising and resolving scheduling conflicts
- Coordinate internal and external meetings, prepare agendas, and track actions
- Handle travel arrangements, expense submissions, and document preparation
- Draft and manage communications on behalf of the Directors
- Maintain efficient systems for managing information and documentation
- Liaise with internal stakeholders and external contacts with professionalism and discretion
- Support Directors with light project coordination and tracking of strategic initiatives
- Assist in organising team events, training, and onboarding logistics
- Ensure timely preparation for key meetings including data collation, presentations, and reports

- Proven experience as an Management/Executive Assistant, ideally supporting multiple senior leaders
- Excellent organisational and time-management skills
- A confident communicator, both written and verbal
- Strong attention to detail and the ability to manage multiple priorities calmly
- Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools
- Professional, discreet, and trustworthy in handling confidential information
- A proactive, solution-oriented mindset and a team-first attitude
- Interest in project coordination
- Ability to collaborate with cross-functional team
- Has strong verbal and written command of English
