This position supports the Met’s nine-person Major Gifts team with various organizational and donor-related functions. They will maintain and update over 400 donor records in our database (Tessitura); assist with donor requests, such as ticketing; support Major Gifts cultivation and stewardship events; and handle heavy-volume administrative duties. They must possess excellent interpersonal, communication, and organization skills. This role will report to the Assistant Director, Major Gifts & International Council.
Primary Responsibilities
- Support Major Gifts team members with donor ticket requests, written correspondence, mailings, and other administrative tasks.
- Handle high-volume areas of information sharing, including digital team documents and folders, as well as the shared calendar.
- Coordinate the logistics of quarterly solicitation letter mailings, including providing donor lists to frontline fundraisers and managing the mail merge and sending of letters.
- Centralize and manage the invitations, RSVPs, database recordings, and administrative/staffing needs for: on-site cultivation events hosted by the Major Gifts team, the Chairman of the Board, and the Major Gifts Chairman; and external and on-site stewardship events.
- Oversee each step in the creation of framed productions photos with signed cast pages for the Met’s highest-level donors.
- Handle Major Gifts invoicing, bills, and purchase orders.
- Maintain and enter weekly payroll information for Major Gifts team.
- Assist with calendar management of the Senior Director of Development, as needed.
- Provide phone coverage as needed for senior members of Major Gifts team, the Assistant General Manager of Development, and general Development Department.
- Assist with additional Development Department events and presentations as needed.
- Other tasks and administrative duties as assigned.
Skills and Qualifications
- B.A. degree or equivalent.
- 2 years related experience, preferably in arts administration.
- Excellent attention to detail, and interpersonal and written skills required.
- Proficient with all basic computer programs, including Outlook and Microsoft Office. Experience with donor databases, particularly Tessitura, a plus.
- Must be interested in the performing arts, with knowledge of music and/or opera a plus.
