Mailroom Associate
Phoenix, AZ 85040

Qualifications

  • The Mailroom Associate is responsible for supporting daily mailroom operations, including receiving, sorting, processing, scanning, and distributing mail and packages in compliance with HIPAA guidelines and established company procedures. This role requires strong attention to detail, customer service skills, and the ability to maintain organized records while supporting office service functions.
    Key Responsibilities:

  • Receive, open, sort, prepare, and scan incoming mail and packages according to established procedures and HIPAA compliance requirements.
  • Process and distribute incoming and outgoing mail, packages, and courier deliveries in a timely and accurate manner.
  • Qualifications:

  • High School Diploma, GED, or equivalent work experience required.
  • Previous experience in mailroom, office services, document management, copy services, or administrative support preferred.
  • Proficiency in Microsoft Office Suite and basic computer applications.
  • Experience operating office equipment such as scanners, copiers, printers, and postage machines preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
  • Excellent customer service and communication skills.
  • Demonstrated integrity, professionalism, and adaptability.

  • Conduct mail runs, package deliveries, and outgoing mail drop-offs throughout the facility.
  • Maintain accurate records of mail, package tracking, and document management activities.
  • Organize and maintain mailroom operations, ensuring cleanliness, efficiency, and compliance with company standards.
  • Provide excellent customer service when interacting with employees, clients, and visitors regarding mail and package inquiries.
  • Operate office equipment, including scanners, printers, copiers, postage machines, and digital mail systems.
  • Assist with document scanning, imaging, and electronic record management processes.
  • Monitor mailroom supplies and report equipment or inventory needs as required.
  • Adhere to company policies, security procedures, confidentiality requirements, and HIPAA guidelines.
  • Support additional office services and administrative tasks as assigned.

Skills Required
