About the Role
We’re looking for a highly organized and proactive Logistics Coordinator to join our team. This role is perfect for someone who thrives in a fast-paced, operations-driven environment and enjoys balancing administrative coordination with real-time problem solving.
As a key link between our office operations and field teams, you’ll play a critical role in ensuring events, projects, and staffing needs run smoothly from start to finish. What You’ll DoRecruitment & Onboarding- Coordinate hiring efforts for part-time staff and contractors
- Post and manage job listings via JazzHR
- Screen candidates, track applicants, and schedule interviews
- Represent the company at job fairs and recruiting events
- Facilitate onboarding, paperwork, and orientation scheduling
- Build and manage schedules using Lasso across events and departments
- Fill shifts quickly and efficiently, including last-minute call-offs
- Coordinate staffing coverage, including sick time requests
- Ensure accuracy and completeness of all staffing plans
- Communicate assignments and updates clearly across teams
- Participate in a rotating weekend on-call schedule (with additional compensation)
- Act as a point of contact for part-time staff
- Help resolve employee concerns and escalate when appropriate
- Support HR processes and ensure compliance with labor regulations
- Promote clear communication between leadership and frontline teams
- Coordinate employee training across departments
- Support day-to-day logistics and operational workflows
- Assist with vehicle scheduling and deployment
- Contribute to process improvements and operational efficiency
Experience & Skills
- 2–3+ years of experience in administrative, operations, or logistics roles
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Ability to think quickly and solve problems in real time
- Experience with scheduling systems (Lasso or similar preferred)
- Proficiency in Google Workspace
Education
- Bachelor’s degree in events, hospitality, theater management, or related field
OR equivalent hands-on experience (3+ years in a similar role)
Other Requirements
- Valid driver’s license
- Willingness to travel to off-site locations as needed
- Ability to lift up to 50 lbs
- Flexibility to work evenings, weekends, and holidays as needed
- Full-time, in-office role (standard hours: 8:30 AM – 5:00 PM)
- Must be comfortable working extended or irregular hours during peak periods
- Combination of office-based work and on-site event support
- Seamless staffing and scheduling across events and operations
- Accurate, up-to-date tracking of personnel and logistics
- Strong collaboration across departments
- Proactive problem-solving and continuous process improvement
