The Logistics Coordinator is responsible for coordinating the setup and ongoing operation of rental assets placed at customer locations within the Rental/Day-to-Day branch. Reporting to the Logistics Supervisor, the role coordinates the mobilization, installation, servicing, and demobilization of modular units, generators, HVAC/MEP equipment, tanks, trailers, and related support equipment across multiple locations. The Logistics Coordinator manages vendor and customer coordination, work orders, asset documentation, invoicing support, and budget tracking to help ensure placed assets remain operational, properly documented, and billable throughout the rental period. 

What You’ll Do
 Asset Operations and Coordination 
  • Coordinate the mobilization, installation, ongoing operation, servicing, and demobilization of rental assets across assigned customer locations. 
  • Manage day-to-day requirements for placed assets, including work orders, service needs, maintenance, repairs, swaps, additions, and other changes throughout the rental period. 
  • Monitor asset location, condition, utilization, service requirements, and operational readiness through site visits, remote check-ins, and coordination with customers and service providers. 
  • Coordinate with the Logistics Supervisor, maintenance, yard personnel, transportation providers, and other support teams throughout the rental lifecycle. 
  • Maintain accurate asset records, including installation and removal dates, rental status, location, configuration, condition, service history, work orders, and supporting documentation. 
Vendor and Customer Coordination 
  • Source, schedule, and coordinate vendors and subcontractors responsible for transportation, installation, maintenance, servicing, and removal of rental assets. 
  • Communicate delivery schedules, site access requirements, equipment specifications, service expectations, and other operational requirements to customers and vendors. 
  • Monitor vendor performance against established scopes, service standards, and timelines and escalate significant deficiencies or issues to the Logistics Supervisor. 
  • Serve as the day-to-day customer contact for assigned placed assets, coordinate service requirements, and address routine issues within assigned authority. 
Financial and Asset Administration 
  • Track assigned budgets, vendor costs, service and repair expenses, and rental revenue and communicate potential cost variances or billing concerns. 
  • Support rental invoicing by confirming on-rent dates, service events, asset changes, and off-rent dates and maintaining accurate supporting documentation. 
  • Review vendor invoices against applicable work orders and approved rates, identify discrepancies, and coordinate resolution. 
  • Support rental closeout by confirming asset returns, condition reports, final rental dates, outstanding charges, and required documentation. 
Safety, Quality, and Continuous Improvement 
  • Follow applicable company HSE requirements, transportation and DOT requirements, customer site rules, and established operating procedures throughout asset installation, service, and removal. 
  • Ensure required inspections, condition assessments, and documentation are completed and support incident reviews and corrective actions as required. 
  • Identify operational risks or constraints affecting safety, compliance, schedule, cost, asset performance, or customer satisfaction and escalate concerns appropriately. 
  • Support consistent work-order, documentation, cost-tracking, and closeout practices and recommend improvements to rental processes and workflows. 
Rental Lifecycle Responsibilities 
  • Mobilization and Installation: Coordinate transportation, vendors, installation crews, site access, work orders, commissioning, customer acceptance, and asset documentation necessary to place rental assets into service. 
  • Ongoing Service: Coordinate maintenance, service, repairs, swaps, additions, and other changes necessary to maintain operational and billable assets across multiple locations. 
  • Demobilization and Closeout: Coordinate asset removal, transportation, condition assessments, return documentation, refurbishment needs, final rental dates, and closeout information necessary for accurate billing. 

What You Bring to the Table
  • 1+ years of experience in rental operations, project coordination, field service, equipment installation, or a related field required. 
  • Experience coordinating vendors, generating and tracking work orders, monitoring budgets, and supporting invoicing required. 
  • Experience with rental assets such as modular units, generators, HVAC/MEP equipment, tanks, trailers, or similar equipment strongly preferred. 
  • Experience coordinating multiple remote or unmanned asset locations without a permanent on-site presence preferred.
