The position is responsible for monitoring purchase orders, deliveries, documentation, invoices, certificates, and any non-conformities. It also involves liaising with suppliers, expediting, monitoring deadlines, and identifying potential delays, as well as coordinating material transportation and logistics. The professional will also be responsible for freight cost control, material receipt, and updating information in the ERP system. The position requires experience in Procurement/Expediting, knowledge of Supply Chain processes, and good oral and written English skills.
Responsibilities
- Confirm supplier’s understanding of all deliverables and that the supplier’s submission or delivery requirements match the project/operation expectations
- Monitor POs delivery timelines, check paperwork against company requirements and specifications, and ensure compliance with regulations.
- Analysis of Invoices (NF): Analyze all invoices issued to BWE; verify the validity of the electronic invoice (NF-e) on the official NF-e website; cross-check the invoice against the Purchase Order (PO); and confirm that the invoice was issued to the correct company, that the items match those on the PO, and that the nature of the operation is appropriate for the transaction
- Handling of discrepancies and non-conformities: A delivery shall be deemed discrepant or non-conforming whenever any item on the receiving and/or quality inspection checklist is not met
- Certificates: control of certificates referencing the relevant PO
- Materials Report: issue a consolidated document in Excel format on a daily basis, containing a list of all materials received that day. This document must be organized into separate tabs with the following classifications/categories: “Purchase of Materials for Shipment,” “Third-Party Delivery,” “Return from Repair,” and “Purchase of Materials for Stock.
- Obtain copy of supplier’s production schedule, confirm the supplier has a complete and capable plan for meeting the delivery requirements
- Contact vendors, place orders, verify supplies, manage supply requisition, and communicate with suppliers to determine expected delivery dates and inform Project Managers of potential delays.
- Coordinate material transportation requirement with third party freight forwarder as per agreed shipping terms on Purchase Order
- Monitor goods arrival at warehouse with the materials analyst of the shorebase for proper material receipt and transfer
- Coordinate material transportation requirements with third party freight Forwarder and local transportation companies
- Review freight forwarding cost against contract rates
- Authorize freight invoices, receive order arrivals, and input shipment status in Company's ERP or other control system indicated.

- Good working knowledge of general administration duties
Experience
- Relevant experience, primarily in the area of procurement and expediting.
- Understanding of commercial and contractual issues related to the procurement of goods.
- Previous work in a multinational oil company is desirable.
Knowledge
- Credible knowledge and experience of supply chain processes and managing critical deliveries.
- Knowledge in cost control and budget, project management, is desirable.
- Good communication Oral and Written English.
- Good Computer Skills.
