SUMMARY
Supporting the Director of Leisure Sales and Sr. Leisure Sales Manager in servicing our clients and their guests, third party and direct bookings; maintain visibility and integrity of our department throughout the resort promoting mutual cooperation in assuring our clients are delivered the service as promised; developing a trusting and long-term relationship with our top accounts. This role will focus on creating Luxury Experiences as a VIP Itinerary Specialist responsible for designing bespoke, highly personalized itineraries that transform a guest’s stay into an unforgettable luxury experience. This role partners closely with the Front Office, Culinary, Spa, Recreation, Transportation, and local partners to curate seamless, one-of-a-kind experiences tailored to each guest’s preferences, celebrations, and travel style.
ESSENTIAL FUNCTIONS
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities. Essential functions for this position include; although are not limited to:
- Work schedule: Tuesday – Saturday with flexibility based on the needs of the team
- Design customized pre-arrival and in-house itineraries for VIPs, suite guests, repeat clientele, and special occasion travelers.
- Conduct pre-arrival outreach to understand guest preferences, interests, dietary needs, celebrations, and travel goals.
- Curate personalized experiences including dining reservations, wellness treatments, outdoor adventures, cultural excursions, children’s activities, shopping, transportation, and exclusive local experiences.
- Coordinate seamlessly with all resort departments to ensure flawless execution of each itinerary.
- Build and maintain relationships with trusted luxury partners.
- Monitor itinerary execution and proactively adjust plans based on weather, guest preferences, or operational changes.
- Anticipate guest needs and identify opportunities to create memorable “wow” moments throughout the stay.
- Ensure all guest preferences and historical information are accurately documented for future visits.
- Partner with Sales and Guest Relations to support VIP arrivals, group leaders, executives, and repeat legacy guests.
- Stay informed on local events, seasonal experiences, new restaurants, and exclusive offerings to continually elevate recommendations.
- Maintain the highest level of confidentiality, professionalism, and discretion when serving high-profile guests.
- Assist with amenities and welcome note cards.
- Detail daily Consortia reservation reports
- Respond to travel agent questions and reservation inquiries
- Be available to speak to clients on behalf of the Sales Manager in their absence.
- Conduct Site Inspections for potential leisure travel agents on behalf of the Sales Manager in their absence.
- Create estimates and quote room rates for travel advisors.
QUALIFICATIONS
- Hotel experience is highly recommended
- College preferred
- Proficiency in Excel and Word
- Knowledgeable in Opera
- Refined phone skills
- Well spoken and written
- Leisure Sales/Travel Industry experience a plus
- Licensed driver able to operate vehicles such as SUVs and golf carts
PHYSICAL DEMANDS
Most work tasks are performed indoors and at a desk. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. This may include traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task. Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates.
