Position Summary
This Legal Support Specialist provides advanced administrative support to attorneys engaged in corporate, healthcare and M&A matters. This role requires expertise in corporate, healthcare, and M&A law, and document management. This candidate should be flexible to work overtime as needed.
Key Responsibilities
Provides comprehensive administrative and legal support to attorneys in the corporate, healthcare and M&A practice areas.
Drafts, edits, proofreads, and processes legal documents, including correspondence and various corporate documents.
Manages document workflows including filing, iManage organization, signature collection, and distribution of closing documents.
Prepares signature pages for execution and distributes same to all closing parties via electronic means (email, SimplyAgree, Docusign, Adobe E-Sign, etc.)
Compiles fully executed transaction documents via PDF, including inserting executed signature pages as well as any related Exhibits/ Schedules.
Support corporate closing logistics and project management in M&A transactions
Updates and maintains transaction related information and legal files (both paper and electronic); organizes, scans and files documents in a designated order
Manages document deliveries and tracks final executed documentation
Reviews and coordinates invoices and billing, correspondence, and expense reimbursements
Opens new client matters and submits conflicts request for new matter openings
Prepares draft engagement letters
Maintains calendars in Outlook, arranges client meetings, prepares agendas and audits responses, arranges travel, and collates documents
Receives and/or screens telephone calls for supported attorneys and conveys messages as necessary
Assists with overflow work and special projects
Provides backup support to Legal Support Specialist team
Qualifications
Skills & Competencies
Experience with complex legal documents
Ability to maintain high standards, use good judgment, seek out ways to contribute, and anticipate needs
Strong attention to detail; established organizational, analytical, and critical-thinking skills; and the ability to manage time effectively
Excellent interpersonal and communication skills (written and verbal), with the ability to collaborate well in a team
Ability to work under pressure to meet strict deadlines
High degree of professionalism and discretion in handling confidential information
Education & Prior Experience
Bachelor’s Degree or equivalent experience preferred
3+ years of corporate law experience
Technology
Proficiency with rules for court document filings
Advanced skills in Microsoft Office Suite; ability to learn new software applications quickly
Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
The expected pay range for this position is:
$36.30–$42.52 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.
