At A GlanceThe Legal Support Specialist is a full-time, on-site role based in Tampa, FL, responsible for managing the full contract lifecycle, including the drafting, review, revision, execution, and administration of client and vendor agreements. The position partners closely with Operations and Finance on contract-related matters and customer/vendor onboarding, while supporting broader legal operations and compliance activities, including business licensing, insurance and certificate of insurance (COI) management, corporate entity maintenance, and litigation support.  As the company's first dedicated legal operations hire, this role offers a unique opportunity to work closely with senior leadership and help build and mature legal processes, systems, and workflows from the ground up. You will gain exposure to commercial contracting, corporate governance, compliance, acquisitions, and legal process improvement while playing a meaningful role in supporting business growth.  The role works closely with the remotely based General Counsel and leaders across Finance, HR, Operations, and Business Development, requiring a high degree of independence, ownership, responsiveness, and adaptability. Our team actively leverages AI tools to improve efficiency and decision-making, making comfort with adopting new technologies important for success. Occasional extended hours may be required during peak contracting periods, major transactions, filings, or compliance deadlines.

What You'll Do

Contract Administration (Primary Focus)

  • Manage intake, tracking, and status of contracts across the full lifecycle: drafting, redlining, routing for approval and signature, execution, and renewal
  • Manage master service agreement (MSA) and statement of work (SOW) flow for seven enterprise retail clients, tracking status, renewal dates, and open negotiation items
  • Prepare routine contract documents (NDAs, amendments, addenda, vendor agreements) using approved templates and playbooks
  • Support negotiations by identifying deviations from standard terms and escalating substantive issues to the General Counsel
  • Maintain and organize the company's contract repository, ensuring accurate recordkeeping and searchability, including working through the legacy backlog inherited across five acquired companies
  • Establish taxonomy, naming conventions, and metadata standards that make agreements findable by client, entity, type, and expiration
  • Track key contract terms, deadlines, renewal dates, and obligations; flag items requiring legal or business attention before they become urgent

Legal Compliance and Corporate Records

  • Assist with state and local business licensing, applications, renewals, and recordkeeping across multiple jurisdictions
  • Manage certificates of insurance (COIs): requesting, tracking, verifying compliance with contractual insurance requirements, and maintaining renewal calendars
  • Maintain good standing for all company entities across multiple states and Puerto Rico, annual reports, registered agent coordination, franchise tax filings, and qualifications to do business
  • Maintain corporate records: board and member consents, resolutions, officer and director records, and organizational charts
  • Support due diligence requests from the company's family office sponsor, lenders, and prospective acquisition targets
  • Support other legal compliance initiatives as assigned, including policy tracking and responses to routine legal inquiries

Litigation and Records Support

  • Issue, track, and document litigation holds, including custodian notice and acknowledgment
  • Manage responses to subpoenas, records requests, and third-party discovery
  • Coordinate with outside counsel on document collection, deadlines, and matter status
  • Maintain the legal matter calendar and outside counsel billing records

Operations and Finance Support

  • Facilitate contract signatures and routing to ensure timely execution
  • Request certificates of insurance as needed to satisfy contractual requirements
  • Complete new vendor setup forms and credit applications as part of customer and vendor onboarding
  • Set up client job numbers for upcoming projects

General Legal Support

  • Provide day-to-day administrative and organizational support to the General Counsel
  • Assist with legal research and summarize findings as needed
  • Help develop and refine templates, checklists, and processes that improve the efficiency of the contract lifecycle

What success looks like within 90 days

  • Contract intake and administration responsibilities have been successfully transitioned from the General Counsel.
  • NDA turnaround times consistently average less than two business days from receipt to execution.
  • A centralized contract repository has been established with all active MSAs and SOWs organized and indexed.
  • All company entities have been verified in good standing, with a comprehensive compliance and filing calendar in place.
  • Stakeholders view you as the primary point of contact for contract status, legal records, and compliance tracking.
What You'll Bring

Experience and Education:

  • Bachelor's degree required.
  • Paralegal Certificate or Juris Doctor (J.D.) preferred; both experienced paralegals and licensed attorneys are encouraged to apply
  • Minimum of 3 years of experience in contract administration, contract management, legal operations, or a related legal support function
  • Experience supporting high-volume contract environments, preferably within an in-house legal department
  • Experience managing contracts for enterprise clients or complex commercial agreements preferred
  • Experience maintaining corporate entities across multiple jurisdictions strongly preferred
  • Familiarity with business licensing, insurance compliance, and Certificates of Insurance (COIs) preferred
  • Experience supporting sponsor-backed, family office-backed, private equity-backed, or multi-entity organizations is highly desirable
  • Experience supporting organizations that have undergone acquisitions, integrations, or significant growth preferred
  • Familiarity with Puerto Rico corporate compliance requirements is a plus
