The Legal Processing and Support Specialist, reporting directly to and under the supervision of the Insurance Portfolio Coordinator, Legal Processing Supervisor, and Administrative Support Specialist, and under the executive supervision of the Chief Administrative Officer and General Counsel, is primarily responsible for managing all incoming legal notices and orders, including without limitation subpoenas, levies, garnishments, suggestions, records requests, bankruptcy notices, and other court orders. From time to time, the Legal Processing and Support Specialist shall also assist the Legal Department and General Counsel with various administrative duties, special projects, and legal research

Duties and Responsibilities:

  1. Process all subpoenas, levies, garnishments, and similar court orders, including, but not limited to, ensuring that process is properly served, the Company has answered such process, and the Company completed required legal actions in a timely fashion. As needed, to ensure a good working relationship, communicate clearly with outside agencies regarding expectations, deadlines, time extension requests, and other issues that may occur while processing the document/request received. 
  2. Maintain a tracking system to ensure all documents are logged when received, and progress notes are added when actions are taken, until each individual document process is marked complete.
  3. With supervision, maintain procedures consistent with day-to-day practices and train back-up employees in current updated procedures.
  4. From time to time, assist the Legal Department with directed legal research, communication with courts, scheduling, and drafting letters, corporate documents, forms, and correspondences.
  5. Assist branches and the Accounting Department in instances where the Bank is the victim of a crime and the Bank suffered a financial loss including coordinating witness and evidence production to the court, processing applicable search warrants and subpoenas, communicating appropriately between the Bank and the court, logging and tracking the notices to the Bank as the case progresses, performing transaction research to help determine the extent of the losses suffered by the bank, and assisting the Accounting Department and the branch in coordinating restitution repayments.
  6. Complete assigned centralized training requirements within expected timeframes.
  7. Cooperate with supervisor to identify training needs and opportunities and meet all training expectations set by supervisor.
  8. Participate in other projects as assigned.

Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office, including Word and Excel, and preferably have experience in electronic filing in federal court
  • Excellent organizational skills, including the ability to manage, organize, and prioritize various tasks that may simultaneously require attention
  • Excellent communication skills, both written and verbal
  • Ability to sit in front of a computer for extended periods of time
  • Ability to carry five pounds
  • Strong business judgment and ability to exercise such judgment under time constraints or other similarly stressful situations
  • Dependability and consistent attention to detail
  • Ability to self-motivate and work with minimal supervision
  • Must have high level of interpersonal skills to handle sensitive and confidential situations; professionalism in such interactions is of the utmost importance; continually requires poise, tact, and diplomacy
  • Five years of experience as a legal assistant or paralegal preferred; formal education/certification preferred
  • Banking or business experience, with an emphasis on contract related work, preferred

 * The salary range is based on market data associated with the position and where the pay rate falls within the range is commensurate with experience, education, and other qualifications. *
