Overview:
Works with Legal team and support staff in preparing legal documentation and/or processing transactions under general supervision. Highly organized, attention to detail and motivated to take initiative in assisting in respective projects.
Responsibilities:
- Provides support to Legal team for confidential and time sensitive material
- Prepares Owner/Architect Agreements and Consultant Agreements under direction of Legal leadership
- Ensures that contracts and proposals are properly entered into organizational databases and securely maintained
- Prepares contract amendments
- Manages legal documentation and correspondence in strict confidence
- Assists in HKS insurance annual renewals
- Assists with corporate matters
- Coordinates appointments, including all correspondence and logistics necessary
- Prepares meeting agendas for assigned staff, assists with meeting set-up/ clean-up which includes ordering lunch and takes minutes as needed
- Schedules and organizes activities such as meetings, schedules, travel, conferences and interviews for Legal team
- Answers phones, distributes mail, and processes expense reimbursement for Legal team
- Assists with corporate and professional compliance with state laws and regulations
- May scan, distribute, and archive appropriate resources for knowledge sharing
Qualifications:
- High school education; Associate’s or higher degree preferred
- Typically with 5+ years of related experience
- Training or certification as a Legal Assistant or Paralegal
- Proficient in MS Office Suite, including Outlook, Word, Excel, PowerPoint and Teams
- Knowledge of Bluebeam software and Adobe including InDesign and Illustrator to create and edit materials and presentations preferred
- Strong interpersonal skills and the ability to interact with all levels of staff
- Strong work ethic and eagerness to produce high quality, accurate results
- Strong organizational skills and the ability to work on multiple projects at the same time
- Ability to write with proper grammar and correct grammar in documents reviewed
- Ability to maintain appropriate degree of confidentiality and adherence to the practice of business ethics
- Ability to communicate in a clear, concise, and professional manner both verbally and in writing
- Ability to proactively problem solve and collaborate on innovative solutions
- Ability to prioritize tasks to meet multiple deadlines and respond to changes at short notice
- Ability to work and collaborate in a team environment, and ability to work independently and prioritize work
- Ability to effectively meet deadlines at expected quality
