Position Summary:
- Assist in preparing relevant legal memorandum, reference materials or other documents in a timely manner. Prepare responses to legal demand letters, regulatory complaints, and similar with guidance.
- Maintain litigation calendar and dockets.
- Serve as liaison between legal department and various internal clients for all issues pertaining to company and legal department functions, including gathering and maintaining litigation files.
- Maintain files and resource library, including (i) maintenance of document and case management system including creating and adding documents to files and updating reports, (ii) tracking of executed agreements and related documents in network system, and (iii) maintenance of all working files for all agreements and related documents and destruction dates.
- Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to proofread typed material for grammatical, typographical or spelling errors.
- Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact. - Publish and maintain department information on company intranet system for use by clients and communicate changes to clients as needed.
- Assist with creation and editing of presentations and other documents.
- Process outside counsel billings, travel expenses and other reimbursements or expenses and work with internal clients for payment/coding of the same
- Compose routine letters and memoranda and prepare reports using knowledge of work area instructions and guidelines
- Sort, route and prepare in-coming and outgoing correspondence and mail, including updating related tracking mechanisms
- Process and distribute supplies for department and related billings
- Maintain department calendar and schedule department events including meetings, recognition events and similar
- Schedule, coordinate and confirm meetings and travel as needed and prepare and assemble materials needed in connection with the same.
- In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company:
- Assist counsel with research and resolution of legal matters.
- Assist counsel and other department team members with registration responsibilities
- Provide back-up for other department admins when needed
- Perform all other duties requested by counsel from time to time
Required Qualifications:
Four (4) years prior legal office experience required
- Working knowledge of Microsoft Office suite, including but not limited to Word and Excel
- Ability to manage multiple ongoing tasks and analyze operations for quality, efficiency and effectiveness;
- Ability to communicate professionally with all levels of staff and executive positions; ability to abstract and present significant facts from data;
- Ability to interpret policy procedures; basic understanding of legal principals and transactions
- GED or high school diploma
