Key Responsibilities
- Providing a full administration and support service to fee earners – to include relaying messages, managing email inboxes, diaries and appointments as required.
- Taking responsibility for a range of tasks and projects focused on streamlining the efficiency of the team across all aspects of data management.
- Assisting with arranging local business development events and off-island trips, which may include arranging travel, accommodation and setting up meetings.
- Arranging all practical aspects around client meetings/conference calls and so forth including preparing meeting rooms and welcoming clients.
- Working closely with those responsible for client take-on to ensure all new matter opening documentation is completed and accurately set up in the systems, and pro-actively ensuring the file continues to be managed correctly.
- Assisting with the preparation of documents and reports, checking for accuracy and assisting with proof-reading.
- Printing, scanning and collating legal documents.
- Assisting with Court bundling (both hard and "e" copies).
- Liaising with the Court and Court Offices on behalf of fee earners.
- Undertaking inputting of monthly billing, WIP lists and processing expense claims and fee earner time entries.
- Carrying out searches in a prompt and efficient manner.
- Working flexibly as a team member with the department to ensure there is support cover throughout the working week to meet the client needs.
- Providing administrative support to the team's marketing plans
- Providing general administrative and operational support to ensure the smooth running of the team
- Providing cover and additional administrative support to the Executive Assistant for the leadership team during periods of increased workload and annual leave.
- Carrying out any legal administrative work, projects/tasks as required by the Partners, Office Manager, Executive Assistant or other fee earners.
Qualifications
- Ideally a graduate, or at least educated to A level or equivalent with strong grades
- An administration or secretarial qualification would be advantageous
Knowledge/skills/experience
- Prior experience in a professional services firm, ideally within a legal environment but this is not essential
- Confident and competent IT user with a sound working knowledge of MS Office to include Word, Excel, PowerPoint and Outlook
- Experience of document management systems would be advantageous
- Excellent typing and formatting skills
- Highly organised with the ability to multi-task and prioritise tasks
- Willingness and ability to learn
