Job Description:
The Learning Systems and Data Specialist plays a crucial role in ensuring the efficient and effective management of our learning systems. This role involves system administration tasks, including problem resolution, content delivery, and providing best practice insights system functionality. The specialist is responsible for maintaining the learning catalog, configuring learning programs, and processing continuing education credits. Additionally, this role supports our data management efforts, producing reports, managing data requests, and conducting qualitative and quantitative data analysis to support organizational strategy and business objectives.
The primary responsibility of this role includes the following:
System Administration
- Assists the LMS Administrator with daily management of the LMS to ensure an efficient and effective delivery of content to learners. Responsible for problem resolution from inquiry to fulfillment.
- Acts as an LMS consultant, providing best practice insight into all LMS functionality including creating events, sessions, curricula, evaluations, email notifications, custom reports, standard reports, and uploading content (e-learning modules, materials, videos).
- Maintains the training catalog within the LMS by working with internal and external teams to publish training materials, configuring training plans and curricula, and defining parameters for training assignments.
- Manipulate data from multiple tracking systems and process continuing education credits.
Learning Team Support
- Screens items submitted for LMS publication for their adherence to SCORM standards to ensure a valid system of record and effective learning experiences for clients.
- Assigns and schedules training activities such as orientation, onboarding, competency assessments, and other evaluations.
Data Management
- Produce reports, including presentations, periodic, annual, and ad hoc reports
- Manage requests for data from business partners and internal teams
- Develop and maintain dashboards or databases to share frequently requested data from internal and external stakeholders
- Follow protocols for data security, storage, and sharing
- Conduct recurring and ad hoc data analysis including annual data on course quality, learner outcomes, and business performance
- Collaborate with internal team and external partners to develop appropriate analysis questions and data collection instruments
- Perform qualitative and quantitative data analysis to support organizational strategy development, business unit partnership efforts, and other business/learning objectives
- Support staff to understand data request, analysis, and visualization needs
- Conduct recurring and ad hoc data analysis including annual data on course quality, learner outcomes, and business performance
- Collaborate with internal team and external partners to develop appropriate analysis questions and data collection instruments
- Perform qualitative and quantitative data analysis to support organizational strategy development, business unit partnership efforts, and other business/learning objectives
- Support staff to understand the analysis and visualization produced
Customer Support
- Create regular reports on enrollment, usage, completion, revenue, and other relevant metrics to improve user engagement and inform future educational initiatives.
- Provide general staff training related to the use of the LMS across the organization and specialized staff training for others on the education team.
- Maintain and update system for categorizing and tagging content to ensure that all content in the LMS is easily searchable and allows users to intuitively navigate to the specific content of interest to them.
- Conduct routine audits on learning content within the LMS to ensure performance, quality assurance, and compliance with established standards.
Key Competencies:
- Minimum 2+ years of experience in data management systems, learning and development processes.
- Applies knowledge of the business and stakeholder expectations in designing research efforts and report formats.
- Ability to simplify and visually present findings to a variety of audiences and stakeholders.
