GENERAL DESCRIPTION:
The Learning and Development (L&D) Specialist plays a key role in supporting the operational and administrative functions of the L&D team. This individual ensures the smooth execution of onboarding, training programs, and learning initiatives throughout the year. They will work closely with the Head of L&D and senior team members to maintain calendars, coordinate logistics, and manage learning systems and documentation.
MAJOR DUTIES & RESPONSIBILITIES:
Administrative Support
For the Head of Learning and Development:
Process monthly expense reports
Provide occasional calendar management support, including scheduling key meetings and events.
Process invoicing and expenses for L&D
Load vendor contracts into BuySmart database
Learning & Development Support
Schedule onboarding sessions and recurring L&D programming across the calendar year.
Coordinate product course update meetings with Manager, Learning Design and subject matter experts
Maintain and update the master L&D calendar, ensuring alignment with business priorities.
Coordinate logistics for in-person and virtual learning sessions, including room bookings and invitations.
Manage and update the L&D SharePoint site with L&D colleagues.
Under the direction of the Manager, Learning Design, support LMS (Learning Management System) administration, including user list management, enrollment tracking, and reporting.
Under the direction of Senior Learning Consultants:
Distribute program surveys and follow up to ensure completion by learners.
Update program documents annually based on guidance from senior L&D team members.
Ensure all materials reflect current processes, and branding.
Education & Experience
Minimum of 2-3 years’ experience in administrative roles
Excellent organizational, negotiation, customer service and interpersonal skills
Written and Verbal communication skills
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and SharePoint.
