Job Summary
The role is part of the Executive Assistance and Travel Management team at Manulife Business Processing Services (MBPS). The Learning Admin Coordinator role supports the management of program schedules, modules and sessions using the Learning Management System (LMS) tool and coordinating training sessions and materials. The learning coordinator generates reports, processes training-related expenses, supports module organization and testing, works with learning vendors. Other tasks include maintaining training finances, processing exit clearances for Learning and Development, and handling various administrative duties as assigned.
This role demands a high level of professionalism, confidentiality, and organizational excellence. The ideal candidate is proactive, detail-oriented, and thrives in a collaborative, fast paced environment.
Role and Responsibilities
The Learning Admin Coordinator is a full-time support for the MBPS Learning and Development team and is accountable for the effective management of priorities through high-quality administration and consistent follow-through on deliverables.
Responsibilities include:
LMS Administration and Reporting
• Work with Learning Partners and Cluster Leads in arranging program schedules, requirements and logistics
• Create, cancel and reschedule training sessions
• Create and maintain course calendar for distribution to employees
• Upload course materials content for pre-training and post content to Learning Management System (Compass)
• Organize the training/course materials
• Manage end to end process for internal training programs
• Answer and manage AskHR tickets raised by Learning Partners and employees
Administration and Documentation of Learning Services
• Online course enrollments and registrations though online payment channels • Training expenses liquidation of credit card transactions
• Training Agreement Preparation and Management
• Maintain and track finances related to training
Training Documentation and Exit Clearance
• Create training bonds and maintain training bond database
• Manage MBPS Learning & Development exit clearance queue
Qualifications
• Minimum of 2-3 years experience in administrative roles
• Excellent organizational and time management skills, including negotiation, customer service and interpersonal skills.
• Written and Verbal communication skills INTERNAL
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), SharePoint, Compass and Concur.
