Leadership & STAY FLY Programs Coordinator - Position Summary

This role will support both the SMC Leadership and STAY FLY programs. Reporting to the SMC Leadership Program Manager and STAY FLY Programs Manager, the Programs Coordinator is responsible for direct service and supporting all functions of running effective and efficient programs. This position will be responsible for coordinating all program activities for the Leadership and STAY FLY programs, managing data entry, and helping to deliver FLY’s STAY FLY curriculum for transition-aged youth (18-25) in the county jails. The ideal candidate is passionate about social and racial justice, youth development and youth voice, and inspiring youth and young adult adults to transform the systems that impact them. They will demonstrate the ability to coordinate and manage collaborative projects effectively. The ideal candidate will have a connection to the San Mateo County community and will be familiar with local community based organizations. They will have strong organizational skills and be confident in supporting youth leadership development and facilitating discussion-based curriculum with Transition-Aged Youth (TAY).

Position Responsibilities

Coordinate Materials and Logistics for Events & Workshops

  • Organize and coordinate logistics for program workshops, field trips, and events, including purchasing supplies and snacks, reserving rooms and event venues, preparing and transporting materials, ordering meals, creating agendas, and maintaining a strict budget
  • In collaboration with STAY Lead Case Manager, support weekly workshops for STAY FLY, including reviewing and adapting curriculum to TAY requests/interests
  • Provide ongoing support to program teams to ensure they have the materials they need
  • Manually track all aspects of event execution in planning spreadsheets 
  • Create event flyers prior to program events and trainings
  • Maintain and update all necessary information into FLY’s ETO database, Google Drive, ensuring accuracy (program enrollment, program attendance, youth paperwork, evaluation surveys, etc.)
  • Manage and organize youth/young adult liability waivers, medical binders, and ensure paperwork is up to date and physically with the team at each event—in case of youth emergencies
  • Transport youth to and from designated program events and activities, as needed
  • Enter program reimbursements into our budget tracking systems, submit to accounting, and provide updates to the Programs Manager on spending trends 

 Provide Programmatic Support - Youth Leadership Development and TAY Law-Related Education 

  • Co-facilitate STAY FLY curriculum with Lead Case Manager, in the community and local jails
  • Prepare and project-manage annual Leadership Program Retreat for 20+ youth and 10+ staff members, including staff training, all materials/food, location, and activities
  • Work with Leadership Program Manager to prepare youth for Peer Mentorship and Service Learning Internship project; facilitate trainings and meetings alongside youth to develop their leadership skills
  • Support Leadership Team in pitching program and recruiting youth to join new cohort each year, including designing a recruitment calendar 

Driving and Transportation

  • Regularly drive to program sites, schools, courts, community locations, and other work-related destinations
  • Safely transport youth and program materials as required for program activities
  • Maintain a valid driver’s license and access to a reliable, properly registered and insured vehicle suitable for these responsibilities
  • Comply with all organizational driving, safety, insurance, and youth transportation requirements
  • Complete authorized business travel, for which mileage and related expenses will be reimbursed in accordance with organizational policy and California law

Compensation & Benefits

This is a full-time, non-exempt position at $27.53 per hour. Our Total Rewards Package also includes the following:
