Job Description:
ROLE OVERVIEW
We are seeking two experienced, highly organized Project Coordinators to join the PMO of a large-scale Oracle Fusion ERP transformation program. This is a hands-on execution role to own the day-to-day operational engine of the program:
- maintaining the integrity of the Jira program board
- keeping the decision and RAID logs current
- producing the metrics and materials that leadership relies on for weekly executive reviews
- driving status and follow-up across multiple workstreams and delivery partners
You will work directly with the PMO Lead, Program Managers, Techno-Functional Leads, Solution Architects, and Business Process Owners. Success in this role means the program's system of record is always accurate, current, and decision-ready. All risks and issues must be discovered, reviewed, and resolved in a timely fashion.
WHAT YOU WILL OWN
- Jira Board Operations: Own day-to-day data integrity of the Jira program board across all workstreams — create, update, and correctly classify user stories, decisions, actions, risks, and issues; ensure every item is mapped to the correct workstream and status; identify and resolve mislabeled, duplicated, or orphaned tickets; and run daily and weekly queries to surface items needing attention.
- Decision & RAID Log Maintenance: Maintain the decisions log and RAID register (Risks, Actions, Issues, Decisions) in real time — capture outcomes from playback, demo, training, testing, and standup sessions, create appropriate tickets in Jira, link them to the correct workstream, track open items to closure, flag overdue or unowned items before they escalate, and backfill other PMO team mem.
- Executive Status Reporting: Build and maintain the weekly executive status materials — status dashboards, workstream progress metrics, SharePoint pages, decision and action summaries, and day-over-day movement tracking — pulling data from Jira and presenting it in the program's standard reporting formats for PMO review.
- Status Tracking & Follow-Up: Proactively track deliverable status across workstreams and delivery partners; send reminders, follow up on open commitments, and surface gaps to the PMO Lead well ahead of due dates so no item is discovered late.
- Meeting Operations: Schedule and coordinate program meetings, prepare agendas, and capture decisions and action items live during sessions — entering them into Jira the same day, while context is fresh.
- Documentation & Knowledge Management: Maintain program documentation in SharePoint/Confluence; align business and technical team members on the program direction and deliverables; ensure all stakeholders can quickly locate current information; keep workflow diagrams, trackers, and reference materials accurate and versioned.
- Process Improvement: Identify bottlenecks in how information flows across the program and propose practical changes to tighten governance, reporting, and tool usage.
REQUIRED QUALIFICATIONS
- Experience: 5+ years in project coordination, PMO operations, or delivery support on medium-to-large technology or transformation programs.
- Jira Proficiency: Demonstrated hands-on experience administering and reporting from Jira (boards, filters, dashboards); ability to maintain data integrity across a large ticket volume.
- Advanced Excel: Strong Excel skills for tracking, reconciliation, and metrics (pivot tables, formulas, data cleanup).
- PowerPoint: Ability to produce clean, executive-ready status slides and dashboards.
- Written Communication: Excellent written English for asynchronous, cross-time-zone collaboration; clear, concise, and professional.
- Time Zone: Ability to reliably work U.S. Pacific business hours from India.
- India: 6 PM to 3 AM IST
- US Pacific: 4:30 AM to 1:30 PM Standard Time / 5:30 AM to 2:30 PM Daylight Time
- AI Tools: AI Tools: Comfort using generative AI to accelerate documentation, summarization, and reporting. Must apply critical thinking to review and validate all AI output before publishing.
- Domain Familiarity: Familiarity with ERP implementations, SDLC, or enterprise program environments is a strong plus (deep technical/architecture experience is not required).
