Provide day-to-day leadership to the virtual administrative team. This team provides administrative support - Calendar, expense, travel, reporting and other adhoc support to the U.S. based leaders. Develop and motivate the team, drive implementation of process improvements within the team, and maintain a high level of service culture. May assist in initiatives or other business-driven projects.
Key Responsibilities
- Lead and coach direct reports, support the team on process or procedures related to scheduling, expense management, travel and administrative support techniques.
- Assist and coach direct reports in resolving complex or high priority issues or respond to and resolve such issues in collaboration with U.S. business partners, as necessary.
- Manage direct report workload and provide guidance in prioritizing work to meet or exceed all accuracy, processing, and call quality metrics and standards.
- Ensure ongoing team engagement activities to create a positive work environment.
- Onboarding of new hires and training / handholding / development of the team and review their skill and competency gap on a periodic basis and suggest appropriate training methods / modules for improving the employee s skills and competency.
- Collect, capture and convey feedback to direct reports through effective performance management practices
- Develop a strong business continuity framework for team and track capacity utilization -- shrinkages, leaves, absenteeism, back-up creation
- Build, manage, track and analyze reports related to capacity and performance metrics. Review team activities to ensure SLAs and training needs are met.
- Partner, coordinate and collaborate with U.S. business partners on keeping tracking metrics, headcount, hiring and training requirements
- Provide recommendations to drive efficiency, drive opportunities for process improvement/re-engineering and overtime contribute to organization wide improvement projects.
Required Qualifications
- Previous experience leading a team, including a strong working knowledge of general administrative duties such as Calendar and emails, processing expense reports, making travel arrangements, updating Salesforce etc. and applicable metrics.
- Prior experience coaching or providing indirect leadership to others.
- Detail orientated, excellent written and verbal communication skills; demonstrated ability to motivate team members to delivery results.
- Ability to manage multiple priorities in a fast-paced environment with little or no supervision and strong organizational/time management skills
- Able to communicate with all levels within the organization.
- Process oriented and can work with a team. Proficient with standard business software applications -- Outlook, Excel, Salesforce, MS Teams
- Bachelors degree or equivalent
