The Team
The People Team is responsible for maximizing employee value through talent acquisition, employee onboarding, management and experience. They are the force behind driving employee engagement and a strong company culture at Deputy, empowering Deputies to do the best work of their lives in support of shift workplaces.
The Role
We are looking for a motivated and detail-oriented individual, to join and support all functions of our People Team. As the Lead People Programs & Operations Specialist you will have an opportunity to multitask a lot of different and interesting work and will play a key role in supporting and driving the People Operations function for the AMER region and lead People Programs. The role will focus on all HR processes, including but not limited to Benefits, Compensation, and Performance Management, while utilizing and maintaining our Human Resource Information System (HRIS) and other HR-specific systems.
This individual will collaborate with cross-functional stakeholders to ensure the delivery of high-quality People services and programs at Deputy. The role will work to ensure our data integrity and understand high-level business goals. The creation of deliberate and proactive programs will help Deputy to achieve our goals. Responsibilities
- Employee Experience: Work with the People team to deliver an empathic and customer service-focused experience for everyone at Deputy.
- Provides support to employee questions and inquiries, delivering high-level customer service and considers how we innovate and advance our People Operations backbone.
- People Processes & Programs: Oversee People operations processes, including onboarding, offboarding, compensation cycles, benefits administration, 401K, visa management and compliance with local labor laws. Continuously review and improve processes to ensure efficiency and effectiveness.
- Develop, implement, and lead People projects and initiatives, such as system implementations, process improvements, and policy changes. Develop project plans, timelines, and deliverables and ensure that projects are completed on time and within budget.
- Collaborate with People Partners on various People programs and initiatives such as manager training and performance management, global internal mobility, and related change management strategies. May assist with administering other special projects as needed. An example of this may be a project focused on internal mobility vs promotions, revamp onboarding program to best in class, leverage technology to automate manual processes and leverage AI.
- Stakeholder Management: Collaborate with stakeholders across the organization, including Finance, Legal, and IT, to drive People initiatives and projects that support the overall business goals. Build strong relationships and partnerships to ensure alignment and integration of People programs and services.
- Act as subject matter expert while collaborating with stakeholders and functional peer groups, interpreting and explaining subject matter information. Gain the cooperation and buy-in of others by conducting presentations of subject matter information for specific People projects or programs.
- Systems & Technology: Support and manage the Rippling HRIS system, ensuring data accuracy, system integrity, and compliance with data privacy regulations. Collaborate with IT and other stakeholders to implement system enhancements and integrations, automating manual tasks where possible.
- Identifies, raises and applies continuous improvements to services and HR systems.
- Helps communicate system/process changes to our employees, helps with training to end-users, and responds to questions and inquiries in a timely manner.
- Data & Reporting: Administer employee data changes, including managing and maintaining employee files and master data.
- Conducts regular audits of employee data to ensure systems security, quality, and data accuracy are monitored and adhere to proper processes and controls.
- Ensures that employee and organizational data integrity is maintained during administration processing, following data management processes and procedures.
- Runs and analyzes custom reports for end-users to ensure we are maximizing efficiencies and data integrity.
- Performs other HR operational tasks such as: data entry, employment verification requests, coordination with payroll ensuring data integrity for employees.
- Compliance: Own HR compliance for the AMER region, ensuring compliance with relevant labor laws and regulations.
- Creates and manages HR compliance education in KnowBe, ensuring organizational adherence.
- Responsible for completing US compliance reports such as EE01 reporting.
- Reporting and preparing for US benefits including management of open enrollment and management of government logins and employee claims.
- Stays abreast of legislative changes and ensure that policies and practices are updated accordingly.
Skills/Experience
- A self-starter who will take the initiative without constant direction, results-oriented, collaborative, have a sense of humour and strong EQ.
- At least 8-12 years of experience with HR processes and systems, preferably utilizing SaaS HR technology in a people-related space working with tech teams in a fast-paced, results-driven environment.
- Ability to work cross-functionally and balance collaboration and communication with multiple stakeholders across various departments and functions in a fast paced environment.
- Expertise in a variety of HR policies, practices, and procedures.
- Ability to be both strategic and tactical in a fast-paced, ever-changing environment.
- Prefer experience with the tech stack of a start-up, various SasS operating systems (GSuite, Asana, Slack, Confluence, Rippling, Lattice and Carta).
- Proficiency in Microsoft Excel and MS Office and G-Suite.
- The ability to handle and maintain a high level of confidentiality and common sense regarding sensitive employee information.
- Clear and articulate oral and written communication skills, strong at story telling through report writing and presentation skills.
- Experience with automating processes preferred..
