Job Description

Role Summary/Purpose:   

Proactively provide a range of administrative support to the Chief Legal Officer and Corporate Secretary, including management of board operations, as well as coordination and support, as needed, for the senior functional team. Independently execute all assigned responsibilities while effectively balancing the needs of multiple individuals. Operate as part of a collaborative team that works together and provides back-up support to other administrative staff as needed. 

Essential Responsibilities: 

Executive Assistant Support

  • Proactively support the assigned leader and team by independently executing all responsibilities while successfully balancing the needs of multiple staff members 
  • Prioritize, maintain, and organize calendars, schedule appointments and meetings (including both on-site and off-site conference arrangements), arrange travel schedules, travel itineraries, reconcile T&L expenses.   Work with others to organize meetings with multiple attendees across different geographic locations in the most efficient way 
  • Proactively look ahead at calendars/schedules to identify conflicts, judge efficiency and suggest adjustments 
  • Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed 
  • Manage a range of general administrative services including: documentation management/file set up and maintenance, invoice processing, etc. 
  • Anticipate, identify, analyze and solve issues/conflicts independently and discretely 
  • Communicate professionally with internal and external persons, at times acting as first point of contact to Chief Legal Officer and Corporate Secretary and/or staff making interactions positive experiences  
  • Handle confidential data and matters discreetly and professionally  
  • Work as a team player with other assistants and teams 
  • Special projects as required

Board Liaison

Coordinate the preparation of board materials, including document creation and review, and manage communications and logistics for all board meetings. Organize travel, accommodation, and logistics for director attendance at meetings. Manage the payment of directors’ fees and their expenses. Ensure follow-ups and requests from the board members are addressed in a timely and professional manner and liaise with the executive leadership team as needed. Maintain clear and timely communication between the board and stakeholders, ensuring accurate and efficient delivery of documentation and follow-through on board actions. This role requires attendance and travel to all board meetings. New members joining the board operations team will be introduced to the role and directors through a staged transition process

Qualifications/Requirements: 

  • Bachelor’s degree or High School diploma and five years’ work experience 
  • Minimum three years’ experience in a support or operations role
  • Ability to successfully organize and execute details in a fast-paced, ever-changing, environment  
  • Ability to successfully manage competing priorities  
  • Highly results driven with exceptional follow through  

Desired Characteristics: 

  • Experience in  C-suite executive support
  • Outstanding interpersonal skills  
  • A collaborative team player yet able to work independently  
If contracted in the US:The base pay range for this position is $110,000 - 183,000 USD Annual. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.
