Administrative Assistant to Laboratory Director. Assists with vendors, supply orders, API editing, client communications, monitoring faxing solution and laboratory billing issues.
Position Requirements- High School graduate or equivalent
- Laboratory and Customer Service preferred.
- Minimum of four years' experience in non-technical laboratory operations. Meditech experience preferred.
- Knowledge of medical laboratory science and medical terminology
- Knowledge of medical billing and coding
- Strong organizational skills and interpersonal skills

- Ability to work independently, be attentive to detail and maintain a positive attitude

- Billing and Coding: Performs laboratory charge reconciliation; Works with PFS to provide correct dx codes, etc. to get a clean bill; Adds modifiers when appropriate; Issues credits when appropriate; Moves records to new account when necessary; Inputs pathology charges
- Motivated – takes initiative for work that needs to be done
- Positively identifies patients and specimens
- Assists in maintaining attendance records: Time and attendance tracking
- Responsible for laboratory orders: Orders to material mgmt on time; Orders placed are accurate; STAT orders kept to a minimum; Maintains cost effectiveness and adequate inventory
- Produces work with very few errors that does not have to be redone
- Assists Lab Administrator with coding and charge master and monthly invoices: Requests billing codes from BAR in a timely manner; Responsible for uncode charges/credits/pathology billing; Checks vendor invoices for accuracy
- Follows Hospital and Laboratory Policies on the use of Electronic Devices: Cell phones kept on vibrate; Phones/Electronic/Headphones devices used during break/meal times only; Does not use personal phones in patient care areas; Uses the hospital internet for work purposes only
- Adheres to WMC Lab Attendance policy: Tardies/Absences kept to a minimum; Rarely misses time punches in API; Submits requests for PTO within policy guidelines; Does not take extended lunches; Takes appropriate breaks as dictated by workload
- Lab Fax Solution Monitoring: Monitors failed faxes and resends; Maintains physicians and numbers in faxing system; Contacts IT for CDS/FA issues
- Provides effective communication: Communicates problems/issues/concerns to appropriate personnel and in a timely manner; Reads e-mail and communication logs during each work day.
